Personal Assistant The Personal Assistant (PA) is responsible for supporting and assisting the CEO in managing daily tasks, coordinating schedules, and ensuring the smooth operation of executive functions. This individual plays a key role as the liaison between the CEO and internal or external parties, including clients, suppliers, and government agencies. The PA must be proactive, trustworthy, and capable of handling a wide range of responsibilities with a high level of professionalism. Key Responsibilities: 1. Daily Management of the CEO • Manage and coordinate the CEO’s calendar, including internal and external meetings, and official engagements. • Arrange and organize travel plans, including flight bookings, accommodations, and transport. • Filter and manage incoming and outgoing communications (emails, letters, calls). 2. Executive Operations & Administrative Coordination • Act as the CEO’s representative in internal meetings when instructed. • Prepare meeting minutes, summary reports, and monitor follow-up actions. • Monitor and coordinate key projects under the CEO’s oversight. 3. Documentation & Communication • Draft official letters, speeches, important emails, and executive-related documents. • Compile tender/contract documents for the CEO’s final review (if required). • Serve as the communication liaison between the CEO and government agencies, suppliers, clients, or strategic partners. 4. Strategic Support • Assist the CEO in preparing presentation materials, management reports, and proposals. • Support market research or information analysis related to business opportunities (especially government tenders). 5. Special Assignments • Execute any special tasks assigned by the CEO from time to time. • Maintain confidentiality of company information and the CEO’s personal matters. Qualification & Requirements • Bachelor’s Degree in Business Administration, Corporate Communication, Executive Management, or a related field. • Minimum of 3 years of experience in a similar role, especially supporting C-Level or senior executives. • Excellent written and verbal communication skills in both English and Bahasa Malaysia. • Proficient in Microsoft 365, SharePoint, and scheduling tools. • Ethical, reliable, and detail-oriented in handling confidential information. • Able to work independently with a high level of initiative. • Strong multitasking and time management abilities.
