The Human Resources Assistant plays a crucial role in supporting the day-to-day operations of the HR department. This position involves providing administrative assistance and contributing to various HR functions to ensure the efficient management of workforce-related tasks. This position requires a dynamic individual with a strong understanding of human resources practices and excellent interpersonal skills.
Key Responsibilities:
- Provide support in full spectrum of HR operation including recruitment and selection, performance management, training & development, leave management and employee relationship.
- Assist in monthly payroll processing by checking staff attendance and leave records, overtime claims and expenses claim.
- Data input into HR and payroll system for new joiners or leavers and maintenance of up-to-date employee information, data, and records.
- To ensure payroll practices in compliance with all statutory requirements and maintain high level of confidentiality regarding employee pay records and document.
- Assist in planning, coordinating, and organizing training activities and updating of training records.
- Identifying training needs and opportunities for continuous improvement and assist employees with training-related queries.
- Addressing employee queries, concerns, and promote a positive work environment and resolve issues promptly.
- To ensure HR records are in proper filing and retrieval system for accurate files, records, reports, and confidential correspondences.
- Assist in preparing offer letters, appointment letters, promotion and or increment letters, confirmation letters, acceptance of resignation letters, employees’ verification letters and any HR related memos and letters.
- Handle submission on SOCSO claim.
- Contribute to the development and implementation of HR policies and procedures.
- Ensure compliance with labour laws and regulations, staying updated on changes that may impact HR practices.
- To update organization charts from time to time.
- To perform any other HR and/or Admin duties that may be assigned by the superior or management from time to time.
Requirements:
- Candidate must possess at least a Diploma or Degree in Human Resource Management, Business Administration or equivalent.
- Minimum 2 years of working experience in related field.
- Experience in handling training and development process is desirable.
- Well versed with Malaysian labour laws and regulations.
- Able to work with minimum supervision, independent and creative of planning daily tasks.
- Ability to maintain high level of confidentiality.
- Able to meet the deadlines, organized, meticulous, attention to details and autonomous self-starter.
- Able to make decisions critically and effectively.
- Good team player, ability to assist and support others.
- Possess good computer literate, interpersonal and communication skills.
- Proficient in both oral and written English and Bahasa Malaysia
- Possess own transport.
