What you'll be doing
A) Administrative
- Providing clerical support to ensure efficient office operations
- Handling general administrative tasks such as filing, data entry, and document management
- Handle for reservation of air ticket and hotel accommodation for staffs
- Assisting with the preparation of reports, presentations, and other business documents
- Serving as the primary point of contact for internal and external stakeholders
- Collaborating with various departments to support cross-functional initiatives
- To check and encounter the problem-by-problem reporter
- To get approval for all service requisition forms
- To liaise with external contractor for remedial work
- To prepare monthly meeting report.
B) Inventory
- To monitor and ensure the smooth and efficient work flow of HG inventory system
- Prepare control and manage all inventory in HG Database
- To prepare the monthly report as instructed
- To ensure daily production process output tally with inventory label data
- To verify PPE inventory list from designated dept
- Generate monthly yield loss report
C) Purchasing
- To check and process all purchase request form from all requestors
- To verify all approval on purchsae request as per standard of approval
- to release purchase order to supplier through fax/email and ensure goods ordered receive on time
- Liaise with Account dept for supplier DO & Invoices
- To prepare monthly purchasing analysis reports & filing
- To coordinate and evaluate new supplier and re-evaluate of current supplier
- To coordinate and prepare the LMW (Packing materials movement monthly report & machinery used manufacturing yearly report).
- Handling for office stationaries items
What we're looking for
- Strong organizational and time management skills with the ability to priorities tasks effectively
- Excellent communication and interpersonal skills, both written and verbal
- Proficiency in Microsoft Office
- Proven experience in a similar administrative role, preferably within the Administration & Office Support industry
- Minimum qualification SPM or Diploma is preferred
