Key Responsibilities:
Recruitment & Workforce Support
- Execute end-to-end recruitment processes, including job posting, screening, scheduling interviews, and issuing offer letters.
- Maintain candidate databases and recruitment trackers.
- Coordinate onboarding activities including induction, document collection, and new hire orientation.
- Support recruitment and onboarding logistics for foreign workers (medical check-up, accommodation arrangements, etc.).
Performance Management Operations
- Assist in organizing the annual performance appraisal cycle (Bi-Annual).
- Collate performance appraisal forms and update employee records with appraisal outcomes.
- Follow up on KPI submissions and provide reminders to line managers and employees.
- Track completion of performance improvement plans (PIPs) where applicable.
Foreign Worker Administration
- Maintain updated records of foreign workers, including permits, contracts, medical reports, and visas.
- Prepare compliance checklists and monitor deadlines for renewals.
4. Compensation & Benefits Administration
- Maintain employee payroll files, leave records, and claims submissions.
- Assist in coordinating insurance, SOCSO, EPF, and EIS submissions.
- Track and monitor employee benefit usage (e.g., medical claims, leave balances).
5. Employee Relations & Compliance
- Record employee grievances, disciplinary cases, and track resolution timelines.
- Support investigations and document disciplinary actions.
- Assist with compliance filings and HR-related audits.
- Ensure HR policies are communicated and understood across departments.
HR Documentation & Exit Management
- Prepare employment contracts, letters (confirmation, transfer, promotion, etc.), and HR memos.
- Maintain physical and digital employee files in an organized and confidential manner.
- Conduct exit formalities including clearance forms, exit interviews, and final pay processing.
Training & Development
- Coordinate internal and external training programs based on the organization’s training calendar.
- Maintain accurate training records and employee training matrices.
- Monitor training feedback and compile evaluation reports to measure training effectiveness.
- Assist in organizing workshops, onboarding programs, leadership training, and compliance training.
- Liaise with external training providers and manage relevant documentation (invoices, attendance, certificates)
Ideal candidate profile:
- Ability to speak and write in Bahasa Malaysia and English fluently.
- Candidates must possess at least Master.
- Solid experience in Employee Relations (ER) and Industrial Relations (IR).
- Proven ability to drive HR initiatives independently and ensure timely closures.
- Strong background in recruitment and talent acquisition.
- MUST be IT Savvy
- Capable of handling a high volume of tasks and delegating effectively.
- Preferably has experience in the construction industry and has worked within a group of companies structure.
