Job Title: Fleet Executive
Department: Fleet Management

Job Purpose

The Fleet Executive is responsible for ensuring the efficient and timely management of vehicle inspection, insurance renewals, and compliance with regulatory requirements. The role involves monitoring critical expiry dates, coordinating inspections, managing financial aspects related to fleet operations, and supervising a team to ensure smooth execution of responsibilities.

Key Responsibilities

  • Puspakom Inspection Management:
  • Monitor expiry dates of Puspakom inspections and schedule inspections accordingly.
  • Plan and coordinate vehicle inspections, ensuring timely completion.
  • Liaise with Puspakom to arrange mobile inspection dates and gather all vehicles for inspection.
  • Track and monitor missed Puspakom inspection dates and take corrective action.
  • Financial and E-Wallet Management:
  • Ensure sufficient balance in the e-wallet for Puspakom booking.
  • Manage e-wallet transactions and maintain accurate records of payments.
  • Collect all Puspakom slips and submit them to the finance department for reimbursement.
  • Insurance Management:
  • Track vehicle insurance expiry dates and initiate the renewal process in advance.
  • Coordinate with finance for timely payment of insurance premiums before cover note issuance.
  • Maintain an updated record of all vehicle insurance policies.
  • Staff Supervision & Coordination:
  • Manage a team of staff to ensure seamless execution of all fleet-related functions.
  • Provide guidance, training, and support to ensure compliance with standard operating procedures.
  • Assign responsibilities and track team performance to avoid operational disruptions.
  • Compliance & Reporting:
  • Ensure all vehicles comply with regulatory and safety requirements.
  • Maintain detailed records of inspections, insurance, and compliance activities.
  • Provide periodic reports to management on fleet compliance status and operational efficiency.

Qualifications & Requirements

  • Diploma/Degree in Business Administration, Logistics, Transportation, or a related field.
  • Minimum of 3 years of experience in fleet management or a related role.
  • Strong organizational and multitasking skills.
  • Knowledge of Puspakom inspection processes and insurance renewal procedures.
  • Proficiency in Microsoft Office and fleet management software.
  • Excellent communication and problem-solving skills.
  • Ability to lead and manage a team effectively.
