- Provide comprehensive personal and administrative support to the Managing Director (MD).
- Assist the MD in managing daily business operations and organizational tasks.
- Handle legal, confidential, and personal matters as directed by the MD.
- Proactively remind the MD of key deadlines, meetings, and important tasks.
- Facilitate effective communication and coordination between the MD’s office, internal departments, and external stakeholders.
- Monitor submission deadlines for departmental reports and follow up with Heads of Department (HODs) to ensure timely delivery.
- Manage and organize the MD’s calendar, including scheduling appointments and prioritizing engagements.
- Coordinate meetings by arranging schedules, sending reminders, organizing logistics, and preparing required materials.
- Attend operational meetings, prepare detailed minutes, and follow up on assigned action items.
- Accompany the MD to meetings as required.
- Conduct research and analysis on matters within the MD’s purview to support informed decision-making.
- Monitor progress of departmental work plans and assist in the coordination and implementation of company projects, programs, and strategic initiatives.
- Maintain regular communication and relationships with key contacts, stakeholders, and agencies as directed by the MD.
- Prepare a variety of documents including briefing papers, reports, presentations, and internal communications.
- Compile data for reports, prepare presentation slides, and assist in revising and following up on documentation.
- Maintain accurate and organized records, including minor accounting and bookkeeping responsibilities as needed.
- Manage and maintain both hardcopy and electronic filing systems for contracts, agreements, and other critical documents.
- Prepare and submit expense claims and reimbursements on behalf of the MD.
- Draft and edit emails, memos, and official correspondence as requested by the MD.
- Handle all confidential information and sensitive matters with a high degree of professionalism and discretion at all times, including after employment.
- Undertake any additional assignments or special projects as assigned by the MD.
- Minimum Diploma in business studies/administration/management, secretarial or equivalents
- Fresh graduate is welcome to apply
- Excellent communication skills, both written and spoken in English and Mandarin
- Proactive, resourceful, responsible, responsive and flexible to changes
- Able to exercise a high degree of tact and professionalism when dealing with various situations
- Strong interpersonal and management skills
- Able to work under pressure and meeting tight deadlines
- Willing to travel, when required
