ROLES & RESPONSIBILITIES
HR Operations and Administration:
- Process and issue staff-related documents, including Appointment Letters, Redesignation Letters, Confirmation Letters, Salary Settlements/Adjustments and compile HR reports for management.
- Handle insurance and SOCSO claims, ensuring timely submission and follow-ups.
- Send confirmation letters for employees and follow up with the Head of Department (HOD) for approvals.
- Update and maintain employee insurance records, ensuring timely registration and removal based on employment status.
- Provide administrative support in implementing and executing HR functions as required.
- Maintain and update employee records in the HR system to ensure data accuracy and compliance.
- Generate and analyze workforce and attendance reports to assist management in decision-making.
- Manage HR correspondence, including employment confirmation, termination notices, and support letters, ensuring proper documentation.
- Oversee the HR Assistant in managing part-time employees and foreign worker administration.
- Verify and process payments to vendors for part-time and foreign workers, ensuring accuracy and compliance with company policies.
- Collaborate with vendors to ensure the smooth hiring and management of part-time and foreign workers based on operational needs.
- Act as a liaison between external vendors and internal employees, ensuring efficient HR service delivery.
- Manage insurance schemes, including policy proposals, coverage management, claim processing, settlements, and monthly reports.
- Oversee HR processes across the entire employee life cycle, ensuring all HR documentation is properly managed.
- Lead general administrative functions to ensure smooth daily operations.
- Assist in the preparation of company events and meetings as needed.
Payroll Management
- Prepare monthly payroll for Logistics and Shared Services, ensuring accurate salary computation, reconciliation of payroll data, and timely payment.
- Register new employees in the payroll system, including data entry, Employee Self-service (ESS) setup, and system maintenance.
- Assist in supervising the overall payroll process to ensure precise calculations of salaries, allowances, and deductions in accordance with company policies and labor regulations.
- Verify overtime claims to ensure compliance with internal policies and statutory requirements.
- Support the Payroll Specialist in generating payroll reports, performing reconciliations, and preparing documentation for compliance filings and audits.
- Ensure accurate and timely submission of statutory contributions including EPF, SOCSO, EIS, PCB, and HRDF.
- Handle tax computations for employees in compliance with LHDN requirements and prepare annual income tax documents such as EA Forms and E Forms.
- Ensure payroll reports are accurate and ready for management review.
- Carry out special assignments, ad-hoc tasks, and other HR-related responsibilities as assigned by management.
QUALIFICATION & EDUCATION
- Diploma or Degree in any related

- Basic computer, Particular in Microsoft Office (Word, Excel)
MINIMUM YEARS OF EXPERIENCES
- Minimum of 5 years’ experience in Human Resources Executive
