Key Responsibilities:

  • Project Monitoring & Coordination – Assist in tracking project progress by liaising with the Regional Manager (RM), Head of Branch (HOB), and agents to ensure timelines are met.
  • Operational Compliance – Support supervisors and couriers in adhering to GDEX operation procedures to ensure operations are conducted efficiently and safely.
  • Operations Reporting – Assist in coordinating and generating operational reports, ensuring all tasks are flagged for visibility and progress is closely monitored.
  • SOP Review & Updates – Regularly review and update operational Standard Operating Procedures (SOP) to ensure alignment with current practices.
  • Cross-Department Support – Assist with various duties and collaborate with multiple departments as needed, providing visibility, and flagging key tasks for follow-up.
  • Timely Reporting – Ensure all reports required by management or HQ functional departments are completed and submitted in a timely manner.
  • Communication & Feedback Coordination – Coordinate with branches and departments to gather survey results, feedback, and support for ongoing projects.
  • BCP Monitoring – Assist in updating and tracking the Business Continuity Plan (BCP) for both the Express Division and Branch.
  • Proposal & Training Support – Support the creation of proposals, process flows, and training materials related to SOPs.
  • ISO Compliance – Assist with Express Division ISO documentation and compliance activities.
  • Audit Assistance – Provide support in audit matters, ensuring all related tasks are flagged for attention and completed on time.
  • Project & Task Support – Assist the Express Division Head with various projects and tasks as needed.
  • Administrative Support – Help with administrative tasks such as attendance, claims, document retention, budget, memo, etc.

Qualifications:

  • Strong organizational skills and the ability to track key tasks.
  • Excellent communication skills (written and verbal).
  • Ability to work with multiple teams.
  • Experience in operations or project coordination is a plus.
  • Able to work independently.
  • Willingness to travel and drive if needed.
  • Mandarin-speaking is a plus.
  • Strong skills in Google Suite (e.g., Google Sheets, Google Slides, etc.).
