Key Responsibilities: Outlet Administration: • Manage day-to-day outlet operations, including maintaining outlet supplies, equipment, and facilities. • Ensure the cleanliness and organization of the outlet environment. • Coordinate with vendors and service providers for outlet maintenance and repairs. Documentation & Record-Keeping: • Maintain accurate and up-to-date records of outlet documents, correspondence, and reports. • Organize and manage filing systems (both physical and digital) for easy retrieval of information. • Handle confidential information with utmost discretion and professionalism. Communication & Coordination: • Act as a point of contact for internal and external communications, including emails, phone calls, and inquiries. • Schedule and coordinate meetings, appointments, and events for management and staff. • Prepare and distribute meeting agendas, minutes, and follow-up action items. Procurement & Inventory Management: • Manage procurement of outlet supplies and equipment, ensuring cost-effectiveness and quality. • Track inventory levels and maintain an efficient stock management system. • Liaise with suppliers and negotiate terms to optimize procurement processes. Support for Administrative Projects: • Assist in organizing company events, training sessions, and other corporate activities. • Support HR and finance teams with administrative tasks, such as onboarding new hires and processing invoices. • Handle travel arrangements for employees, including bookings and itinerary management. Compliance & Policy Implementation: • Ensure compliance with company policies and procedures in all administrative activities. • Assist in updating and enforcing office policies to promote a productive work environment. Reporting & Analysis: • Prepare administrative reports and presentations as required by management. • Provide updates on administrative expenses and suggest cost-saving measures. Collaboration & Teamwork: • Work closely with other departments to provide administrative support and align operations with company objectives. • Support the General Manager – DeMi Coffee Division in executing administrative initiatives. • Act as a liaison between management and staff to ensure effective communication and task follow-ups.
