- Assist the Project Manager and team in day-to-day administrative tasks
- Maintain project documentation, files, and records, ensuring they are updated and accessible
- Prepare and distribute project reports, meeting minutes, and other communications
- Schedule and coordinate meetings, site visits, and project-related events
- Handle incoming and outgoing correspondence, including emails and phone calls
- Process invoices, purchase orders, and other financial documents related to the project
- Track project timelines and milestones, ensuring deadlines are met
- Liaise with external vendors, contractors, and suppliers for project-related requirements
- Assist in organizing project materials, tools, and equipment
- Ensure compliance with company policies and procedures related to the project
- Support project team members with ad hoc tasks as needed
- High school diploma or equivalent; associate’s degree or relevant certifications preferred
- Proven experience as an administrative clerk or in a similar role, preferably in a project setting
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational skills with the ability to multitask
- Strong attention to detail and ability to prioritize tasks
- Good communication skills, both written and verbal
- Ability to work independently and as part of a team
- Familiarity with project management software (e.g., MS Project, Trello) is a plus
- Knowledge of office equipment and procedures
- Ability to maintain confidentiality and handle sensitive information
