Role Summary: The Junior Secretary plays a key role in ensuring the smooth daily operations of the office by providing administrative support, managing office facilities, and coordinating schedules. This position requires excellent organizational and communication skills to handle customer interactions, assist in project coordination, and support engineers’ attendance management. The ideal candidate is detail-oriented, proactive, and able to multitask efficiently in a fast-paced industrial automation environment. ________________________________________ Key Responsibilities: 1. Reception & Customer Service • Greet and assist visitors professionally upon arrival. • Serve refreshments to clients, guests, and visitors. • Handle incoming calls, emails, and general inquiries promptly and courteously. 2. Meeting & Scheduling Coordination • Arrange and book meeting rooms as per requests. • Prepare meeting materials and coordinate logistics. • Maintain an organized meeting calendar for engineers and management. 3. Engineer Attendance & Project Coordination • Track and manage engineers' daily attendance and work schedules. • Monitor project progress and report updates to management. • Assist in coordinating project documentation and follow-ups. 4. Office Administration & Facilities Management • Perform general administrative tasks such as filing, data entry, and document preparation. • Maintain office supplies inventory and ensure all necessary materials are available. • Oversee office facilities, ensuring they are well-maintained and operational. ________________________________________ Requirements: • Diploma or Degree in Business Administration, Secretarial Studies, or a related field. • 1-2 years of experience in administrative or secretarial roles (fresh graduates with strong organizational skills are welcome to apply). • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). • Strong verbal and written communication skills in English and Bahasa Malaysia. • Well-organized, detail-oriented, and able to multitask effectively. • Professional and polite demeanor with excellent customer service skills. • Ability to work in a structured and fast-paced environment within the industrial automation sector.
