Roles:
- Oversee and ensure the accuracy and compliance of import and export declarations to prevent penalties and shipment delays.
- Coordinate with internal departments, customers, and external authorities to ensure smooth and efficient logistics operations.
- Monitor and enhance system processes to improve operational efficiency.
- Ensure all required documentation is completed accurately and submitted on time.
- Engage proactively with existing customers to strengthen business relationships and explore potential service opportunities.
Key Responsibilities:
1. Coordination & Documentation:
- Manage and coordinate import and export documentation, ensuring compliance with customs regulations.
- Review and verify shipment details, including invoices, packing lists, and declarations.
- Oversee permit applications for import and export (e.g., MITI, MAQIS, SIRIM, LKM, FAMA, etc.).
2. Customs & Regulatory Compliance:
- Ensure timely and accurate submission of declarations (K1, K2, K3, K8, K9, ZB1, ZB2).
- Liaise with customs authorities and regulatory bodies to address any compliance issues.
- Monitor vessel closing times, customs clearance, and duty payments.
3. Stakeholder Communication:
- Act as the main point of contact for customers, shipping lines, and freight forwarders regarding import and export matters.
- Provide customers with updates on shipment status, document approvals, and permit applications.
- Work closely with the transport and operations teams to ensure timely cargo delivery.
4. Business Engagement & Growth:
- Proactively follow up with existing customers to enhance service engagement and identify new business opportunities.
- Maintain strong client relationships by understanding their logistics needs and recommending suitable solutions.
- Collaborate with internal teams to ensure seamless execution of customer requests, contributing to business growth.
5. System & Process Optimization:
- Manage and update job files in logistics management systems.
- Identify and implement process improvements to enhance department efficiency.
- Ensure accurate data entry and record-keeping for all transactions.
6. Issue Resolution & Support:
- Proactively resolve any shipment-related issues, such as delays, documentation errors, or customs rejections.
- Support internal teams with required documentation and compliance updates.
- Perform any other duties assigned by the management to support the logistics operations.
- Coordinate with internal departments, customers, and external authorities to ensure smooth and efficient logistics operations.

Requirements:
- Must possess at least SPM or above.
- Minimum 2-3 years of experience in logistics, freight forwarding, customs clearance, or import/export operations.
- Familiarity with Malaysian customs regulations, shipping procedures, and international trade compliance.
- Experience in handling import/export documentation such as K1, K2, K3, K8, ZB1, ZB2, and permit applications.
- Proficient in logistics management systems.
- Excellent communication and coordination skills to liaise with customers, shipping lines, and government agencies.
- Strong problem-solving skills to handle shipment issues and customs clearance challenges.
- Ability to work under tight deadlines and manage multiple tasks efficiently.
- Attention to detail to ensure accuracy in declarations and compliance with regulations.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to generate reports.
- Must be willing to work in Port Klang or other logistics hubs as required.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong understanding of customs clearance processes, HS codes, and regulatory permits.
- Ability to analyze and verify shipping documents, invoices, and customs declarations.
