Admin executive (HALAL)

Job Summary:

The Administrative Executive supports the smooth administrative operations of the ice cream

factory, including documentation, procurement, staff coordination, and Halal compliance monitoring.

The role ensures that all administrative and regulatory tasks are completed efficiently and align with

company standards and Halal certification requirements.

Key Responsibilities:

- Manage and maintain office filing systems (physical and digital).

- Prepare and maintain reports related to production, inventory, staff attendance, and procurement.

- Handle internal and external correspondence (emails, calls, documents).

- Support procurement of office supplies, factory consumables, and raw ingredients.

- Monitor and maintain documentation related to Halal certification and compliance.

- Coordinate Halal internal audits and inspections; liaise with Halal certification bodies (e.g., JAKIM).

- Ensure all ingredients and processes follow Halal standards; maintain ingredient and supplier

records.

- Support the HR team in onboarding, record-keeping, and payroll coordination.

- Assist in scheduling and documenting meetings, including Halal committee meetings.

- Liaise with suppliers, service providers, and relevant government bodies.

- Assist the factory manager in planning, reporting, and administrative coordination.

- Ensure the office and document management comply with company policies and food safety

standards.

Requirements:

- SPM leaves with experience, fresh graduate Diploma or Degree in Business Administration or related field.

- At least 2 years of experience in an administrative role (experience in F&B or food manufacturing is an advantage).

- Proficient in Microsoft Office (Excel, Word, PowerPoint).

- Good communication, organization, and time management skills.

- Knowledge of Halal certification procedures and documentation (JAKIM or equivalent).

- Fluent in [relevant languages].

Preferred Qualities:

- Experience in Halal compliance or QA/QC in food production.

- Familiarity with HACCP, ISO, or other food safety systems added advantage.

- Detail-oriented, able to work independently, and maintain confidentiality.

Pay: RM1,800.00 - RM2,000.00 per month
