Job Purpose Responsible for the smooth running of Homes of Hope (Children’s and Adults’ Home of Hope) located in Penang State and liaison with Home Coordinator National/ Home Coordinator Deputy National and the other Heads of Departments in NCSM in supporting programs organized by the Society or by external parties for the benefit of the current and former child and adult residents of the Homes. Key Responsibilities Administrative To lead the operational management of both the Children’s and Adults’ Homes of Hope in Penang State, ensuring that all aspects of the facilities run smoothly To ensure the smooth running of the Children’s and Adult’s Home in Penang State including ensuring that the furniture and fittings, electrical appliances and office equipment are kept in good working condition. To be the lead in communication of information, directives and policies from management Care Assistant. To be in charge of the procurement process for the Children’s and Adult’s Home in in Penang State. To arrange training session for care assistants’ orientation process of the patients and caregivers of the children and adult staying in the Children’s and Adult’s Home in in Penang State. To ensure safety measures are in place and complied with at all times. To manage/provide shuttle services as and when required for patients requiring transport to hospital. To maintain patients’ records/registration To manage duty roster for care assistants. To refer every patient to NCSM’s in-house Psychosocial services team within the first week of admission and refer via ANTEMR system. To cross-check with patients and caregivers on the in-house psychosocial services provided/consultation done in Homes of Home. To do means testing on the first week of new patient admission. To prepare and submit daily and monthly reports to update Management on number of residents at the Home, number of room days/bed nights used and no of current and future activities. Good communication skills, to maintain good relationship with in-patients and their caregivers, staff at Pediatric and Adult wards in the govt. hospitals /other healthcare facilities, support groups, volunteers, donors and supporters. Manage petty cash and procurement as and when necessary, upon approval of the Home Coordinator (National). To liaise with the relevant departments in NCSM relating to the Homes under the pillars of Educate, Care and Support. To assist the Home Coordinator (National)/ Home Coordinator (Deputy National) in any other matters assigned from time to time, as and when required. Engagement • Engage with local communities, NGOs, private companies, and educational institutions to organize monthly programs that promote childhood and adult cancer awareness in Penang State. • Utilize social media to promote the Homes of Hope and increase occupancy, ensuring consistent and effective communication. • Work to increase the number of monthly and yearly donors, both in-kind and monetary, by building and maintaining strong relationships with potential supporters in Penang State • Good communication skills, to maintain good relationship with local community / non-governmental agencies/ private companies / university / school students in Penang State. • Visit and promote the Homes of Hope across hospitals and MOH clinics within the region, ensuring that these institutions are aware of the services offered in Penang State. • To produce report on the engagement on monthly basis to Home Coordinator (National)/ Home Coordinator (Deputy National). Support Activities and Programs To support programs for the wellbeing of the children and adult with cancer and their caregivers i.e. counseling programs, therapies, sharing sessions, support groups etc Source for sponsorship of programs and activities for the Homes, if and when it is required. Educational and CARE Programs To support public health events organized by the Society, as and when required To support in the production of educational materials, as and when required To support community outreach programmes, as and when required Any other duties as assigned by the Management as and when required Key Performance Indicators (KPI) Smooth running of the Home and daily operations Efficiency in managing cleaning staff Accuracy and efficiency in keeping patients’ records Ensure every patient is referred to NCSM’s in-house Psychosocial services team within the week of admission Reliability Teamwork Procurement/budget is cost effective Ensure satisfaction in services provided to patients and caregivers Behavioral Competencies Good organizational and leadership skills Accurate and attentive to detail Proven problem-solving skills Good interpersonal skills Tactful and diplomatic Ability to work with multiple deadlines and multiple priorities Flexible and adaptable Has initiative Good team player, ability to assist and support others.
