Recruitment Support: Static Guards
- Coordinate with the Operations team to collect new application forms along with all the required supporting documents.
- Requests for KDN, ID cards, name tags, lanyards, and uniforms for newly hired guards.
- Generate uniform deduction forms, where applicable, and obtain signed acknowledgment from the guards.
- Submit updated security personnel biodata to clients based on their requirements.
Attendance Monitoring & Reporting
- Record and update daily, weekly and monthly attendance of all deployed guards across locations.
- Review attendance records to identify and rectify discrepancies in collaboration with the Operations team.
- Submit updated attendance reports to the Head of Department (HOD), General Manager (GM) and Executive Director (ED) for review and record-keeping.
Payroll Processing
- Input and maintain accurate daily attendance and timesheet records for all assigned sites.
- Collect and verify relevant supporting documents for absenteeism, overtime, and other payroll-related matters on a daily basis.
- Prepare deduction lists for hostel accommodations and transportation (where applicable).
- Monitor medical claim usage and initiate salary deductions for claims exceeding approved limits.
- Request and confirm site-specific salary structures, including new site pay rates, buffer rates or special adjustments as required.
- Accurately key in approved timesheets, turnout records, and payroll data, then generate payroll summaries for approval.
- Proceed with monthly Advance requisition and ensure to approve based on the allocated amount.
- Submit finalized monthly attendance and payroll reports to HR, Finance, and HOD for validation and record.
- Ensure both hard and soft copies of payroll and attendance records are properly filed and secured for audit and reference.
Employee Data Management & Records Maintenance
- Maintain an up-to-date database of security guard records including leave balances, training history, salary information.
- Ensure all personal data and employment documentation for guards are securely filed and easily retrievable, both physically and digitally.
- Assist HR with periodic audits, manpower reporting, and compliance with data protection regulations.
- Monitor employment status (active/inactive/resigned) and ensure all related documentation is current.
General Administrative Duties
- Provide administrative support to the HR and Operations departments as needed.
- Support continuous improvement efforts by recommending enhancements to payroll and data management processes.
Qualifications
- Education: Minimum Diploma or equivalent; a background in Human Resources, Business Administration, or related field is an advantage.
- Experience: At least 1–2 years of experience in HR administration, Payroll, or preferably in the security or manpower industry.
- Technical Skills:
- Proficient in Microsoft Office (Word, Excel, Outlook, SQL Payroll).
- Familiar with basic document handling and HR database systems.
- Communication Skills:
- Good written and verbal communication in English and Bahasa Malaysia.
- Able to liaise effectively with internal teams and external clients.
