Key Responsibilities:
- Data Entry and Management:
- Accurately input data into company systems (e.g., project databases, financial records, or inventory systems).
- Ensure the correct entry of client, vendor, and project details with minimal errors.
- Maintain up-to-date records and files for various departments, including finance, procurement, and operations.
- Documentation and Reporting:
- Prepare and generate routine reports for internal use and review by management.
- Maintain organized filing systems and ensure all data is securely stored and easy to access when needed.
- Assist in preparing project reports, invoices, and other documents as required by management.
- Data Verification and Quality Control:
- Regularly review and verify entered data for accuracy and completeness.
- Cross-check data with source documents to ensure consistency and prevent errors.
- Identify and resolve discrepancies in data in collaboration with relevant departments.
- Administrative Support:
- Provide general administrative support to various departments, including the project and operations teams.
- Assist with office tasks such as printing, scanning, and photocopying as needed.
- Handle confidential and sensitive information with discretion and professionalism.
- Collaboration with Teams:
- Work closely with other departments (e.g., finance, HR, procurement) to support data-related needs.
- Assist in improving data entry processes and workflows to enhance efficiency.
Qualifications:
- Education: Minimum of a high school diploma; diploma in Business Administration, IT, or related field preferred.
- Experience: Previous data entry experience is a plus. Knowledge of project management or construction-related data is beneficial.
- Skills:
- Strong typing skills with a high level of accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other data management software.
- Ability to work with minimal supervision and manage multiple tasks efficiently.
- Strong attention to detail and organizational skills.
