The Spare Parts Inventory Manager is responsible for overseeing the storage, movement, and supply of motorcycle spare parts across all branches. This role ensures optimal stock levels, implements efficient inventory control systems, and supports service center operations by minimizing part shortages and stockouts.

Key Responsibilities:

Inventory Management

  • Maintain accurate stock records for all spare parts across branches.
  • Implement and monitor minimum and maximum stock levels for each item.
  • Conduct regular cycle counts and annual full physical stock audits.
  • Handle GRN (Goods Received Notes) and update the system accordingly.

Procurement & Replenishment

  • Forecast part usage based on historical trends and service schedules.
  • Plan and execute timely replenishment orders to avoid shortages or overstocking.
  • Coordinate with vendors and suppliers for timely delivery and cost-effective procurement.

System & Documentation

  • Utilize inventory management software to track movement and generate reports.
  • Ensure all stock transfers between branches are documented and tracked.
  • Oversee barcode labeling and part bin location management.

Team Coordination

  • Supervise parts storekeepers or inventory assistants at each branch.
  • Train staff on standard operating procedures and proper stock handling.

Operational Support

  • Work closely with workshop teams to understand part demands.
  • Prioritize urgent requests and manage parts allocation for repair jobs.
  • Ensure obsolete or slow-moving parts are identified and actioned.

Sales Order Fulfillment

  • Review and process spare parts sales orders from internal (branches/workshops) and external customers (walk-ins, B2B).

Inventory Management

  • Maintain optimal stock levels to meet sales and service demand.
  • Prevent stock discrepancies through routine audits and system reconciliation.
  • Manage part returns, warranties, and exchanges in line with company policies.

System & Documentation

  • Generate DO (Delivery Orders), Invoices, and update stock balance in the system upon each sales fulfillment.
  • Ensure all part issuance is tracked, documented, and reflected in inventory software.

Cross-Department Collaboration

  • Work closely with Sales, Service, and Finance departments to streamline order fulfillment and billing processes.
  • Liaise with procurement to replenish stock based on current and upcoming sales orders.
  • Coordinate picking, packing, and delivery/collection of parts as per sales order.
  • Ensure timely and accurate dispatch of parts to fulfill daily orders.
  • Communicate proactively with sales and service teams on order status or delays.
  • Monitor backorders and follow up with suppliers to fulfill pending orders.

Requirements:

  • Diploma or Degree in Logistics, Supply Chain, or equivalent.
  • Minimum 3 years experience in automotive or motorcycle spare parts inventory.
  • Strong knowledge of inventory software (e.g., AutoCount, SQL, SAP, or equivalent).
  • Analytical and detail-oriented with problem-solving skills.
  • Able to travel between branches if required.

Preferred Qualities:

  • Experience in motorcycle or automotive industry.
  • Familiar with ISO stock procedures and warehouse compliance.
  • Multilingual: Bahasa Malaysia, English, Mandarin (preferred).

Pay: RM3,500.00 - RM8,000.00 per month
