DAILY/MONTHLY RESPONSIBILITIES:
1. Take full responsibility for overseeing the company HRMS, including monitoring licenses for timely renewals, updating settings to reflect changes (e.g., leave policies, schedules, allowances, staff adjustments), and ensuring smooth system functionality. This includes managing daily attendance, registering new users, and optimizing access by removing inactive accounts.
2. Handle leave applications, prepare reports and payroll trackers, update medical claims, and assist with festival leave planning for smooth operations.
3. Assist in drafting HR-related letters and memorandums, update and follow up on welfare cases, liaise with government bodies (SOCSO, CIDB, etc.), prepare staff support letters, and provide HR guidance to employees and management.
4. Verify and amend monthly timesheets for staff and workers, ensuring alignment with approved leave and overtime.
5. Prepare salary advance applications, and update the monthly payroll tracker and back charges list.
6. Apply for grant claims related to staff internal and external training with HRDC.
7. Propose and research improvements to current SOPs or workflows in HR or Office Administration, and actively participate in ongoing HR initiatives.
8. Assist with ISO 9001/2015 audits, and surveys for HR-related items, equipment, or systems.
9. Handle foreign workers renewal passport/permit/cidb for smooth operations.
YEARLY RESPONSIBILITIES:
1. Distribute EA Forms to employees and ensure timely completion.
2. Submit Form E to LHDN (Tax Department).
