Job Summary:
A proactive and detail-oriented Operations Officer to ensure smooth operations by overseeing vehicle maintenance, scheduling, and deployment of drivers, while supporting operational planning and coordination. This requires a hands-on approach to ensure optimal service delivery and compliance with industry standards.
Key Responsibilities:
Vehicle Maintenance and Management:
- Conduct routine inspections of company-owned vehicles to ensure safety and roadworthiness.
- Coordinate regular maintenance, repairs, and servicing of vehicles.
- Maintain detailed records of vehicle use, renewal of insurance and road tax, fuel consumption, and servicing schedules.
- Ensure vehicles comply with relevant safety and regulatory standards.
Driver Rostering and Deployment:
- Create and manage driver schedules to ensure optimal coverage for client requirements.
- Plan and coordinate driver deployment to ensure timely and efficient service delivery.
- Monitor driver performance and adherence to company policies.
- Address driver concerns and resolve scheduling conflicts promptly.
Operational Planning and Coordination:
- Assist in the development of operational strategies to improve efficiency and service quality.
- Work closely with the operations manager / anyone assigned by the management to plan and execute deployment strategies for security personnel and resources.
- Ensure all operational activities comply with company standards and regulatory requirements.
Reporting and Documentation:
- Prepare and maintain detailed reports on vehicle usage, driver performance, and operational activities.
- Ensure accurate documentation of schedules, deployments, and incidents.
- Provide regular updates to management on operational progress and challenges.
General Support:
- Liaise with internal teams and clients to ensure smooth communication and service delivery.
- Address any operational issues that arise during the course of service delivery.
- Train and onboard new drivers or team members as required.
Skills:
- Proven experience in operations, logistics, or a related field, preferably in the security services industry.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in using scheduling software or similar tools.
- Knowledge of vehicle maintenance and regulatory compliance is an advantage.
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- A valid driver's license is required.
