About the Job The Receptionist serves as the first point of contact for patients, visitors, and vendors at our client clinic. This role is crucial in ensuring a professional, welcoming environment while efficiently managing administrative and front-desk operations. The Receptionist supports the smooth running of daily clinic activities by coordinating appointments, handling inquiries, and maintaining patient records in line with confidentiality and clinic protocols. Job Responsibilities Front Desk Operations Greet patients and visitors in a warm, courteous, and professional manner. Manage patient check-ins and check-outs efficiently. Answer incoming calls, respond to inquiries, and route calls appropriately. Maintain a clean, organized, and welcoming reception area. Appointment & Scheduling Schedule, confirm, and reschedule patient appointments using clinic software. Notify clinical staff of patient arrivals and delays. Coordinate appointment reminders via phone, text, or email. Administrative Support Collect and verify patient information and insurance details. Process billing and payment transactions as per clinic procedures. Maintain accurate and up-to-date patient records and documentation. Handle incoming mail, faxes, and emails, ensuring timely distribution. Patient Experience Provide assistance and general information about clinic services, procedures, and wait times. Ensure patient privacy and comfort throughout their visit. Address patient concerns professionally and escalate as needed. Qualifications & Experiences Needed A high school diploma or equivalent; diploma in Office Administration or related field is an advantage. Prior experience in a medical or clinical setting is preferred. Strong communication and interpersonal skills. Proficiency with office software and appointment scheduling systems. Ability to handle multiple tasks in a fast-paced environment. Friendly, professional demeanor with strong attention to detail. Knowledge of basic medical terminology is a plus.
