Position: Manufacturing Admin and Controller
Responsibilities
1. Expense & Budget Oversight
- Monitor and control departmental expenses across Production, Maintenance, CRA, Warehouse, and Quality to ensure alignment with approved budgets and financial targets
- Ensure all expenses are aligned with approved budgets and financial targets.
- Act as a liaison between Manufacturing and Finance teams by gathering necessary data and supporting cross-verification of financial records.
2. Reporting & Dashboard Management
- Develop and maintain Excel dashboards for tracking production and utility expenses.
- Ensure accurate submission of KPIs through the manufacturing portal.
- Work closely with the IS team to automate data processes and reduce manual workload.
3. Capital Expenditure (CapEx) Tracking
- Handle end-to-end CapEx processes: create CER, request for quotation, submit requests with all the proper documents, monitor approval status through portal systems
- Update and maintain CapEx tracking in Excel and ensure timely follow-ups on project progress.
4. Cross-Functional Coordination
- Liaise with HODs for monthly reports and follow-up on pending submissions.
- Track email follow-ups from the General Manager and ensure HODs submit their inputs before deadlines.
- Compile meeting minutes and distribute them to all relevant departments.
5. General Manager Liaison
- Meet regularly with the General Manager for task briefings, follow-ups, and meeting arrangements.
- Carry out financial data preparation or any ad hoc tasks or assignments given directly by the General Manager.
- Prepare presentation decks (e.g., for MIM, POR, Orientation).
6. Stock Management Support
- Participate in stock count activities with the assistance of the Warehouse Executive and document findings accurately.
- Train new team members in stock count (terminal) procedures.
7. Ad Hoc Task
- Update Block Stock records for R&D and Marketing.
- Update COGS and COGM records.
- Handle petty cash reimbursements and maintain supporting receipts.
- Lead the team and encourage everyone's involvement for any celebration.
- As the PIC for Manufacturing, coordinate and align with PICs from other departments
Skills & Qualifications
- Minimum Diploma in Administration, Accounting, Engineering or a related field
- Strong proficiency in Microsoft Excel (Pivot Tables, VLOOKUP, charts, Power BI) and PowerPoint.
- Experience with SAP is an advantage.
- Strong analytical thinking and attention to detail.
- Excellent organizational and time-management skills.
