Job Summary:
The Event Assistant supports the planning, coordination, and execution of events, ensuring smooth operations and a positive experience for all attendees. This role involves administrative tasks, on-site support, and coordination with vendors, guests, and staff.
Key Responsibilities:
- Assist in planning and organizing event logistics (venue setup, registration, signage, etc.)
- Coordinate with vendors, suppliers, and caterers to ensure timely delivery and setup
- Support event promotion and marketing efforts (social media, flyers, email reminders)
- Help prepare event materials (name tags, schedules, kits, feedback forms, etc.)
- Manage registration/check-in and provide assistance to guests during the event
- Handle on-site logistics, including equipment setup, guest coordination, and troubleshooting
- Maintain clear communication with the event team and raise concerns when necessary
- Assist with post-event clean-up and follow-up tasks (feedback collection, thank-you notes, reports)
Requirements:
- Strong organizational and multitasking skills
- Good communication and interpersonal abilities
- Ability to work in a fast-paced environment and adapt to changes
- Basic computer skills (MS Office, email, social media)
- 3D design and planning
- Willingness to work and travel during evenings/weekends depending on event schedule
- Experience in events or hospitality is a plus
