Community Associate – Finance & Admin

As the first point of contact for members and guests, you'll be a trusted resource for providing administrative and financial support while fostering a warm and welcoming community environment. You will be instrumental in ensuring efficient operations and assisting with finance-related tasks, making you the backbone of our community.

Responsibilities:

  • Greet and welcome members and guests, offering excellent customer service from the first interaction.
  • Manage member registration, ensuring all information is up to date.
  • Oversee payments and assist with invoicing, tracking accounts receivable, and handling any payment inquiries.
  • Answer incoming calls and respond to queries promptly, providing accurate information.
  • Coordinate incoming mail and parcels, ensuring they are sorted and distributed to the correct recipients.
  • Track office supplies, place orders, and ensure stock levels are maintained efficiently.
  • Monitor office expenses, keeping track of costs to ensure the space operates within budget.
  • Ensure the pantry/lounge and reception areas are kept clean and well-organized.
  • Support community events, coordination, and logistics, including setup, breakdown, and managing catering arrangements.

Requirements:

  • Personable, energetic, and adaptive communicator – you know how to make members feel at home and part of the community.
  • Strong customer service orientation – you understand the importance of creating a positive, supportive environment for our members.
  • Exceptional organizational skills and time management – you’ll be juggling multiple tasks, and your attention to detail ensures nothing is overlooked.
  • A diligent work ethic – you demonstrate integrity, reliability, and accountability.
  • Strong command of English; additional languages are a bonus.
  • Proficient in administrative tasks and handling financial documentation.
  • University graduate preferred, with a background in business, finance, or administration.
  • Previous customer service experience or financial administration experience is a plus.
