Senior Executive – Tender, Contracts & Sustainability
We are looking for Senior Executive - Tender, Contracts & Sustainability to manage the full lifecycle of tender and contract processes, from identifying opportunities and analyzing bid documents to preparing and submitting comprehensive proposals in compliance with client and regulatory requirements. On the sustainability front, the executive is responsible for supporting ESG initiatives, ensuring compliance with environmental standards such as ISO 14001, and contributing to sustainability reporting based on frameworks like GRI or other client-mandated disclosures.
Key Responsibilities:
- Conduct thorough reviews of past tenders and contracts to identify strengths, weaknesses, and areas for improvement.
- Analyze bid success/failure reasons and apply learnings to future tenders.
- Maintain records of past bid performances for strategic insights.
- Ensure all submitted tenders meet the client's technical, financial, and legal requirements.
- Review tender documentation, bid proposals, and supporting documents for accuracy and completeness.
- Coordinate with internal departments to ensure all compliance aspects are covered before submission.
- Verify that all required insurance policies (e.g., liability, performance bonds) are in place and meet contractual requirements.
- Ensure timely renewal and updates of insurance policies as per project needs.
- Liaise with insurance providers to address any project-related insurance requirements.
- Ensure subcontractors meet all regulatory, legal, and contractual obligations.
- Conduct due diligence on subcontractors' financial, legal, and operational capabilities
- Monitor subcontractor performance and adherence to contractual obligations throughout the project lifecycle.
- Review, analyze, and negotiate tender terms and conditions to mitigate risks.
- Identify potential contractual risks and propose mitigation strategies.
- Ensure proper documentation and approval of any deviations from standard terms and conditions.
- Ensure all necessary licenses, permits, and certifications are obtained and maintained for project execution.
- Monitor expiration dates and manage timely renewals to avoid disruptions.
- Liaise with regulatory bodies to resolve any licensing issues promptly.
- Support the development and execution of the company’s ESG strategy and long-term sustainability goals.
- Contribute to setting measurable ESG targets and tracking progress across business units.
- Assist in implementing environmental programs related to emissions, waste management, energy efficiency, and water use.
- Participate in site assessments, audits, and reporting to ensure compliance with environmental regulations.
- Coordinate awareness campaigns and internal training to foster a sustainability-focused culture.
- Act as a liaison with internal teams, clients, and community stakeholders on ESG-related matters.
- Help develop internal ESG-related policies, procedures, and guidelines. Stay up to date with ESG trends, regulatory changes, and industry best practices.
Qualifications:
- 5 to 8 years of working experience in tender management, contract administration, or procurement, with at least 1 to 2 years involving sustainability or ESG-related responsibilities.
- Bachelor Degree in any related field
- Previous experience in Oil & Gas will be an added advantage.
