We are seeking a highly organized and efficient Secretary cum Personal Assistant to join our team at Dhaya Maju Infrastructure (Asia) Sdn Berhad. This full-time role will be based in Kajang, Selangor and will provide vital administrative and personal support to our senior leadership.

What you'll be doing

  • Provide high-level administrative support.
  • Responsible for arranging, coordinating and keeping track of any meetings and business appointments with clients/guest/visitors which might include preparing refreshments and drinks for the guest.
  • Organize and manage the calendar, prioritizing appointments and scheduling meetings to optimize time and reduce conflicts.
  • Handle confidential information with integrity and discretion.
  • Coordinate and attend meetings, taking minutes and following up on action items.
  • Plan and maintain work calendar and ensure it is accurate and updated.
  • Working with the secretarial team, providing support to one another when necessary.
  • Perform general admin duties but not limited to photocopying, binding and storing all company documents.
  • Ensuring all incoming calls are answered quickly, taking clear and accurate messages when necessary.
  • Prepare reports, presentations, and other documents as requested.
  • Liaise with internal departments and external stakeholders on behalf.
  • Maintain an efficient filing system, both digital and physical.
  • Assist in personal tasks and errands when needed.
  • Any other duties that may be assigned from time to time by your superior.

What we're looking for

  • Minimum 2-5 years of experience as a Secretary or Personal Assistant in a professional office environment
  • Demonstrated high level organizational skills, including experience organizing self and others, coordinating, and initiating work arrangements with minimal supervision and the capacity to work under pressure.
  • Excellent written and verbal communication skills in English and Bahasa Malaysia
  • Proficiency in Microsoft Office suite, including Word, Excel, PowerPoint and Outlook
  • Discretion and confidentiality when handling sensitive information
  • A proactive, flexible and service-oriented approach

Job Type: Full-time

Pay: RM2,500.00 - RM4,000.00 per month
