Key Responsibilities:
i. Sales & Service Support:
- Prepare and process Quotations, DN, PO, and Order Confirmations for clients.
- Coordinate with the Sales Team and Operations Team to ensure accurate and timely delivery of services (portable toilet rental, desludging, pest control, etc.).
- Monitor and follow up on client requests, inquiries, and feedback.
ii. Documentation & Record Management:
- Compile and maintain accurate records of: Delivery Notes, Waste Disposal Chits, Service Reports (e.g., desludging, pest control)
- Attendance Reports for workers
- Ensure all documentation is submitted to the Accounts department for invoicing and client claims.
iii. Client Coordination:
- Liaise with clients to confirm service schedules, delivery requirements, and documentation needs.
- Track and verify documentation required for payment (signed DNs, chits, service records).
- Handle any discrepancies in orders or documentation by coordinating with internal departments.
iv. Internal Communication & Support:
- Support HQ such as:
- Operations – for manpower and service updates.
- Accounts – for billing and collection documentation.
- Compliance/HSE – for RA and documentation submission.
- Coordinate with the project site team to gather daily updates and ensure alignment with client deliverables.
v. Reporting:
- Prepare and submit monthly reports on services delivered, completed work orders, and supporting documents for billing.
- Maintain a master tracker for client accounts, quotations issued, and pending documentation.
vi. Administrative Duties:
- Monitor and compile daily worker attendance for submission to clients.
- Maintain proper filing of all sales-related documents both in softcopy and hardcopy.
- Assist in preparing and submitting permits or Risk Assessments (RA), if required.
