
Personal Assistant to Director
Provide comprehensive secretarial and administrative support to the Director and executive team, including managing calendars, organizing meetings and conferences, preparing meeting agendas, briefing materials, reports, and presentations.
Coordinate, attend, and document meetings by taking accurate minutes and ensuring timely distribution of reports and follow-up actions.
Manage the Director’s daily schedule, email correspondence, and appointment bookings to ensure seamless day-to-day operations.
Draft and prepare correspondence, manage travel arrangements including detailed itineraries and logistics, and compile relevant documents for meetings and business trips.
Assist the Director in tracking and following up on key projects and deliverables; monitor task progress and ensure timely reporting.
Liaise professionally with internal teams, senior management, and external stakeholders, maintaining confidentiality and a high level of discretion at all times.
Organize and maintain a structured electronic and physical filing system, ensuring documents are up-to-date and easily retrievable.
Manage office systems and data organization to support operational efficiency.
Screen incoming calls, emails, and inquiries, responding or escalating as appropriate, and prioritizing urgent matters.
Support in drafting letters, preparing memos, and designing professional presentations.
Carry out any additional tasks or responsibilities as directed by the Director.
- Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role, preferably within a corporate or financial consulting environment.
- Strong written and verbal communication skills with excellent organizational abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- High level of discretion, professionalism, and the ability to manage sensitive information.
- Capable of multitasking in a fast-paced, dynamic environment with minimal supervision.
