Job Summary The Operation Administrator will support daily factory operations at the Bintulu pallet production site. This position requires a hands-on, proactive individual who can handle multitasking in a fast-paced production environment. 1) Key Responsibilities: • Prepare day to day administrative and operational documents. Documents include but not limited to delivery orders, material receiving documents, purchase invoices etc. • Prepare operation reports and ensure all data recorded are accurate and sent out within stipulated dateline. • Track, record, and reconcile petty cash usage with supporting receipts and submit to Miri Executive for verification. • Assist supervisor in recording daily attendance of factory workers, monitor absenteeism and assist with basic workforce coordination. • Conduct minor procurement and local purchasing for daily factory needs. Assist in food ordering and collection (OT meals) and other ad-hoc errands. • Replenish factory safety materials where needed, assist with daily HSE checks to ensure factory complies with safety procedures. • Assist in giving safety briefings and communicating safety protocols to operational staff. • Manage and maintain necessary permits, licenses and official approvals to ensure all are up to date. • Support on sourcing and inter department coordination for part-timer recruitment. • Act as the communication bridge between Bintulu team and Miri team ensuring updates, requests and reports are timely and clear. • Back-to-back with Operation Executive where needed and assist in day-to-day administrative and operational activities. • To ensure operation documents are accurately recorded and properly filed • Keep updated documentation and proper filing system in accordance with company requirements. • Maintain cleanliness and tidiness of office. • Any other tasks required by the management 6) Authorities • Petty cash handling (keep usage record and submit to Superior for verification, request replenishment) • Relay updates, submit reports and act as a communication bridge between Bintulu and Miri teams 2) Requirement and Qualifications • Minimum Diploma in Business Administration or related field. • 1 - 2 years working experience in related field. • Proficient in Microsoft Excel and Word • Good communication and interpersonal skills • Able to multitask, work independently and take initiative • Well organized and diligent 3) Preferred Skills and Competencies • Strong attention to detail and accuracy in preparing and managing operational documents (e.g., delivery orders, reports). • Good organization and filing skills – both physical and digital records. • Good verbal and written communication skills in English and Bahasa Malaysia. • Ability to assist with daily factory operations and workforce coordination. • Time management skills to meet reporting deadlines and complete errands efficiently. • Basic accounting skills to handle petty cash and supporting documentation. • Ability to prepare simple operation reports and track daily attendance accurately.
