Position: Admin Executive

Working Days: Monday to Friday

Working Hours: 9am to 6.30pm

Job Scope

  • Ensure all documents received are checked, validated and matched accordingly and maintain proper filing of documents
  • Handle all general office administration and maintenance related works
  • Professional telephone handling incoming and outgoing calls and call transfers
  • To manage documents, records and maintain good and organized filing for data retrieving
  • Coordinate with suppliers and service providers
  • Have the ability to arrange events (seminar/conference/others), translation (bahasa malaysia & english), able to write, prepare letter and compile meeting minutes
  • Undertake assignments, ad-hoc tasks and related duties as assigned by manager
  • To maintain proper filing system as per the head office guidelines;
  • To maintain proper recording of stock and inventory;
  • To ensure availability of all forms and documents and ensure proper documentation of the same at all times;
  • Provide backup support to kiosk team (including weekend and public holiday) when needed
  • Schedule and organize department activities
  • Perform a variety of clerical and administrative duties with minimal supervision including answering phones, making appointments, and ordering office supplies
  • Track all documents for approval and signage
  • Maintain office facilities as needed
  • Ensure office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times
  • Ensure confidentiality and security of files and filing systems


Requirements:

1. Fresh Graduate (with SPM/Diploma/Degree in Business Administration) is welcomed

2. Good attitude and able to maintain high confidential with necessary information

3. Willing to provide support whenever requested including weekend and public holiday. (only applied to special circumstances)
