About the role

As the Executive Assistant to TTRacing's CEO, you will act as a trusted liaison with CEO's internal/external stakeholders and teams, and you will work to ensure that he is able to focus on priority work by leveraging your exceptional organisational, communication, and administrative skills to triage and prioritise incoming requests.

The Executive Assistant plays an essential role in the Chief Executive Officer's support, managing CEO's schedule, travel plans, and personal affairs while facilitating communication and coordination with internal business teams and external stakeholders.

Key Responsibilities:

  • Schedule and coordinate appointments, meetings, and travel as needed while managing and organizing a hectic personal and business calendar across multiple time zones and priorities.
  • Respond to inquiries, ensuring that all questions are answered promptly and courteously.
  • Collaborate closely with internal departments and external parties on various tasks, and make announcements on behalf of the CEO as required.
  • Arrange detailed and comprehensible itineraries as well as overseas travel plans, including accommodations, ground transportation, visas, and flights.
  • Maintain contact, meeting, and travel records as necessary; perform data entry and transcribing as necessary.
  • Proactively send reminders to key stakeholders about upcoming travel, events, meetings, and deadlines.
  • Manage expenses, ensuring accurate records are retained and submitted in a timely manner.
  • Handle confidential information and exercise discretion at all times.

Preferred Qualifications:

  • Bachelor's degree or equivalent experience in a related field, with 3 or more years of administrative support, and/or executive administration experience.
  • Clear, precise, and professional written and verbal communication skills; your emails and responses will be perceived as the CEO's voice.
  • Self-starter who is able to work independently without supervision and complete a task as far as possible on their own, but also has the foresight to ask questions when necessary.
  • Strong sense of urgency and proactiveness when responding to requests and completing tasks.
  • Excellent organizational and time-management skills, able to multitask and prioritize tasks effectively.
  • Proficiency in Google Apps, particularly Google Calendar, and Google Docs, Microsoft Office Suite, Slack, Expensify, and others applications as needed
  • High integrity and track record of maintaining extreme confidentiality of sensitive information.
  • Extreme attention to detail, as well as the ability to consider all possible scenarios and plan ahead
