Overview:

We are seeking a detail-oriented and experienced IT Procurement Specialist to join our team. The IT Procurement Specialist will be responsible for acquiring IT goods, services, and solutions necessary to support our organization's operations. This role requires strong analytical skills, a deep understanding of IT products and services, and the ability to negotiate favourable terms with suppliers. The ideal candidate will demonstrate proficiency in managing procurement processes, vendor relationships, and ensuring compliance with organizational policies and standards.

Responsibilities:

  • Collaborate with internal stakeholders to identify IT procurement requirements, including hardware, software, cloud services, and IT consulting services.
  • Develop sourcing strategies and identify potential vendors or suppliers. Evaluate vendor proposals, conduct supplier evaluations, and negotiate contracts to secure cost-effective and high-quality IT solutions.
  • Negotiate terms and conditions with suppliers, including pricing, warranties, service levels, delivery schedules, and contract terms. Ensure contracts align with organizational requirements and mitigate risks.
  • Manage the end-to-end procurement process, including preparing and issuing RFIs, RFPs, RFQs, and purchase orders (POs). Track orders, ensure timely delivery of goods and services, and resolve any issues that arise during the procurement process.
  • Establish and maintain relationships with vendors and suppliers. Monitor vendor performance, conduct regular performance reviews, and address any performance issues or disputes. Foster collaborative partnerships to optimize vendor relationships.
  • Collaborate with finance and budgeting teams to develop IT procurement budgets and forecasts. Monitor expenditures, track procurement costs, and identify opportunities for cost savings and efficiency improvements
  • Ensure compliance with organizational procurement policies, procedures, and regulatory requirements. Identify and mitigate risks associated with IT procurement activities, such as supply chain disruptions, data security, and vendor dependencies
  • Maintain accurate records of procurement activities, contracts, and vendor communications. Generate reports on procurement metrics, performance, and cost savings initiatives.

Requirements:

  • Bachelor’s degree in Business Administration, Supply Chain Management, IT Management, or related field.
  • Proven experience in IT procurement, sourcing, vendor management, or a related role.
  • In-depth knowledge of IT products and services, procurement best practices, and contract negotiation principles.
  • Strong analytical skills with the ability to interpret data, conduct market research, and make informed procurement decisions.
  • Proficiency in procurement and contract management software, as well as Microsoft Office Suite.
  • Experience with ERP systems or other procurement software tools will be added advantage.
  • Knowledge of regulatory requirements and compliance related to IT procurement.
