The Concur Administrator will manage and maintain the Concur Travel and Expense (T&E) platform, specifically supporting the ANZ region. This role includes system administration, configuration, troubleshooting, and ensuring compliance with specific Australian and New Zealand financial and regulatory requirements. The ideal candidate will work closely with the Finance, IT, and HR teams to provide a seamless user experience and efficient T&E processes.

Essential Functions:

  • User Support: Primary point of contact in providing expert-level support to end-users in ANZ, resolving issues related to T&E processes, access, system navigation, and report generation. Support based on emails and helpdesk tickets.
  • Compliance and Controls: Ensure system and user compliance with ANZ tax regulations, company policies, and other local requirements, including GST management and local audit requirements. Raise non-compliance to management for further action.
  • Training and Documentation: Develop and deliver online training sessions (Zoom or MS Teams) and update materials for end-users to promote self-service and efficient use of the Concur system for travel booking and expense reporting.
  • Data Integrity and Reporting: Provide monthly and quarterly status reports to management (ie. No of claims, policy violations, total amount, trends). Assist Finance Team with reconciling expenses, auditing and maintaining accurate records for financial reporting purposes. Review of claims before expense reports are processed for financial reporting.
  • Integration and Enhancements: Work with IT to manage integrations between Concur and other systems, such as ERP and payroll, and suggest system enhancements to improve efficiency.
  • Concur Helpdesk Support: Liaise with US Concur Support team where needed and assist in Concur helpdesk tickets to resolve system-related issues promptly within the set Service Level Agreement.
  • Process Optimization: Continuously review and optimize T&E processes, identifying automation and process improvement opportunities tailored to ANZ market requirements.
  • User Access and Corporate Card Management: Manage user delegations and raise corporate card terminations, ensuring terminated/resigned staff with corporate cards have cleared their Concur expense report before their last day. Distribution of corporate card statements to NZ Corporate card users and attend to ad-hoc requests for corporate card statements.
  • Ad-Hoc Matters: Assist in other duties as and when assigned by superiors.

Required Qualifications of Every Candidate:

  • Bachelor's degree in Finance, Accounting, Business Administration, Information Technology, or a related field.
  • 3-5 years of experience in Concur administration or similar T&E management systems, with a focus on the ANZ market.
  • Strong understanding of ANZ-specific financial regulations, including GST, expense policies, and compliance requirements.
  • Proficient in system configuration, troubleshooting, and report generation in Concur.
  • Excellent communication and interpersonal skills, with the ability to work and communicate effectively with employees at all levels and across multiple teams and regions.
  • Strong analytical skills and attention to detail, with a proactive approach to problem-solving.
  • Ability to work independently in a fast-paced, multicultural environment.

Added advantage

  • Experience working in Shared Services or a multinational environment.
  • Certification in Concur Administration is an added advantage.
  • Familiarity with QAD, Epicor, SAP or other ERP systems.
  • Knowledge of ANZ employment and tax laws related to expense management.
