As a Human Resources Business Partner (HRBP), you will serve as a strategic partner to business leaders, collaborating on the development and implementation of HR initiatives that support the organization's objectives. You will be responsible for providing HR expertise in areas such as operations, talent management, employee relations, performance management, case management and organizational development.

Roles and responsibilities

Employee Relations:

· Guide managers on handling employee relations issues, including performance concerns, conflicts, and disciplinary actions.

· Conduct thorough investigations into employee misconduct, maintaining a fair and unbiased approach.

· To carry out domestic inquiries as and when required along with the necessary letter issuance and documentations.

· Recommend and implement proactive measures to enhance employee morale and minimize potential conflicts.

Talent Management and Performance Appraisals:

· Partner with hiring managers to identify the allocated budget, key competencies and skills required for open positions.

· Implement talent acquisition strategies, including sourcing, interviewing, and onboarding processes.

· To carry out offboarding of employees such as exit interviews, data collection, clearance and updating of payroll movements.

· Ensure that all pre-onboarding/onboarding information is kept up to date and is shared with employees. To also conduct the onboarding sessions.

· Liaise closely with managers on performance appraisal timelines and documentation. To guide and advise on solutions for problems identified. Highlight gaps that may have been missed by the managers.

· To be part of the yearly salary and bonus review process and is not limited to tabulation and letter issuance.

Payroll and Budgeting

· Ensure that payroll movement data is captured correctly every month for payout processing.

· To liaise closely with the payroll team for any hold/release in salary.

· Budgets are to be monitored and submitted on time. This will include a year-to-year budgeting process and forecasting.

· Processing of staff overtime claims (verification and check).

· Well versed with EPF and income tax requirements and practices to advise staff members. Travelling may be required for this should an issue arise.

Training and Development:

· Identify skill gaps within the organization and work with department heads to create targeted training programs.

· Facilitate leadership development programs to nurture the growth of future leaders.

· Stay informed about industry trends and best practices in training and development.

· Organise and facilitate the training program to ensure it is carried out according to schedule.

· Ensure that the HRDC application is submitted before the training program. Attend to any HRDC queries that relate to the grant.

Permits and Visa Processing

· Ensure all permits are kept up to date with the Ministry of Education including system updates and ensure renewals are carried out on time before expiry.

· Collaborate closely with the colleague in charge of visa processing to ensure entry of the employee to the country.

· Be in constant communication with employees for any documentation or information required.

· Collate all supporting documents (Passport/OC, visa copy, medical report, certificates, letter from school).

Organizational Development:

· Conduct organizational assessments to identify areas for improvement in structure, processes, and team dynamics.

· Design and implement initiatives to enhance employee engagement, diversity and inclusion, and overall workplace satisfaction.

· Facilitate change management processes to ensure smooth transitions during organizational changes.

Audits

· To be part of any audit process which will be carried out including providing evidence and documentation.

· Liaise closely with any auditing party.

Operations and Communications

· Stay informed about changes in employment laws and regulations, ensuring the organization's policies and practices remain compliant.

· Provide training to managers and employees on HR policies, procedures, and legal requirements.

· Attend to all enquiries that come through promptly. Highlight possible issues that require further attention/investigation.

· Participate in school events that will happen from time to time.

· Staff personal files are to be kept updated as and when movement happens.

· Ensure invoices or vendor contracts are monitored for renewals/negotiations.

· Processing of staff claims such as travel and meals.

· To meet and greet staff members coming into Malaysia as part of their onboarding.
