We are looking for a meticulous Project Administrator to support the Malaysia Project Team. This person will be the backbone in managing and coordinating the administrative duties of the project. The Project Administrator will report to the Project Manager and work cross-functionally, coordinating between departments for a unified response and to deliver to project timelines.

Job Responsibilities

  • Assist the Customer Success Manager in end-to-end client management
  • Provide administrative support to the Project Team and Project Manager.
  • To assist in overall planning, implementation, and execution of projects to ensure successful completion of the project
  • Schedule and coordinate meetings and appointments for the team, including the preparation and distribution of meeting agendas, minutes, and other project-related materials
  • Upkeep and maintain all existing project schedules
  • Process all incoming and outgoing document within the required time period and in accordance with project requirement and procedure
  • Organize and maintain project documentation, including contracts, Maintain communication with clients, consultants, subcontractors, and vendors
  • Track and manage project submittals in the Microsoft SharePoint
  • Undertake any other duties that will be assigned from time to time by the immediate superior / management

Qualities You Should Have

  • Diploma and above
  • Minimum 3 years of experience as a Project Administrator or a related administrative role; preferably in engineering, facilities management industry
  • Attention to detail and strong administrative capabilities
  • Process oriented with the ability to effectively multi-task in a very fast paced environment
  • Excellent time management and organizational skills
