ROLE SUMMARY

Support the human resources department in daily HR operations. This role focuses on administrative tasks, ensuring efficient handling of employee records, recruitment support, onboarding, payroll assistance, and compliance with HR policies and regulations. The HR Assistant serves as a point of contact for employee inquiries and assists in fostering a positive work environment by supporting employee engagement activities and maintaining confidential and accurate personnel data.

RESPONSIBILITIES

Recruitment Support

1. Assist in posting job advertisements on job boards and company websites/pages.

2. Screen resumes and schedule interviews.

3. Coordinate with candidates and interviewers for interview arrangements.

HR Onboarding

1. Prepare onboarding materials for new hires.

2. Assist in the organization of orientation programs.

3. Assist with the preparation of offer letters and employment contracts.

4. Ensure all required documents are collected and filed properly.

Employee Record Management

1. Maintain and update employee records (e.g., personal information, job titles, leave records).

2. Ensure data accuracy and compliance with data protection policies.

3. Oversee the accurate filing of employee records both digitally and in physical formats.

4. Ensure records are kept up-to-date (e.g., promotions, transfers, salary changes).

Payroll Support

1. Assist in tracking employee attendance and leaves for payroll processing.

2. Provide administrative support for payroll queries.

Performance Management

1. Provide administrative support during performance appraisal cycles.

2. Assist in the creation and distribution of performance review forms.

Benefits Administration

1. Assist in managing employee benefits like health insurance, leave entitlements, and other perks.

2. Handle employee inquiries regarding benefits.

Policy Enforcement & Compliance

1. Ensure compliance with labor laws and internal HR policies.

2. Assist with updating the employee handbook and update policy changes to staff.

3. Assist in preparing reports and documentation for audits.

Employee Relations

1. Assist in planning and coordinating employee engagement events (e.g., team-building activities, and company-wide celebrations).

2. Contribute to fostering a positive and inclusive workplace culture.

3. Provide support in resolving employee queries and issues.

Exit Procedures/Offboarding

1. Handle administrative tasks related to employee offboarding (e.g., exit interviews, clearance).

2. Ensure proper documentation is completed for departing employees.

HR Systems Support

1. Support in maintaining and updating HR software and databases.

2. Track employee attendance, leaves, and absences.

3. Ensure leave balances are accurately updated in HR systems.

4. Troubleshoot any issues related to HR systems and escalate them as needed.

General Administrative Support

1. Handle day-to-day HR administrative tasks.

2. Answer employee inquiries, and coordinate HR meetings.

3. Assist with office supply ordering and management.

4. Perform any other duties and responsibilities as assigned by the company or management.

MIN QUALIFICATION AND SKILLS

· Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or a related field.

· Min. 1-year experience in a related field.

· Bahasa Malaysia and English (both written and spoken) is essential

· Good organizational and time management skills

· Basic understanding of HR functions and procedures

· Strong communication and interpersonal skills

· Attention to detail and confidentiality

· Proficiency in MS Office (Word, Excel, PowerPoint)

· Familiarity with HR software (e.g., Info-Tech, UBS) will be advantageous

· Strong multitasking abilities

· Discretion and good judgment in handling sensitive employee information

· Ability to work independently and as part of a team

Job Type: Full-time

Pay: RM1,900.00 - RM2,300.00 per month
