Duties of Laboratory Manager include managing overall lab operations in accordance with ISO 15189:2012
requirement; developing procedures to ensure safety, security, quality, and accuracy of results; designing and
performing test procedures; analysing requests for tests and equipment; tending to administrative and management
matters; consulting with principal clients; and assisting in budgeting.
Responsibilities
GENERAL STAFF
1. General management of the staff to ensure punctuality, good discipline and adherence and compliance to
company policies. To report to the Regional Lab Manager any persistent issues.
2. To ensure that a roster is prepared, and that staff are given adequate notice of their rostered working hours. The
roster must reflect adequate staffing to enable all services to be provided at the times advertised to clients.
3. To ensure that staff, providing any service or function is adequately supervised during training, and that only staff
who have completed and “signed off” training records for that procedure or process are rostered to work alone in
any area of the operation.
4. Participate in continuing education and training and to encourage and assist all staff in this endeavor.
5. To formally review staff performance on an annual basis and in accordance with instructions and documentation
issued by the Senior Manager, Human Resource.
COURIER SERVICES & MARKETING
1. To monitor the arrival times of couriers, completion, checking and filing of courier round sheets is completed
according to documented procedures. To report any deviation in writing to the Head of Department Logistics.
2. To perform ad hoc function as a courier as required in order to meet service requirements.
3. Ensure that all scheduled report print runs are printed and that report print run summaries are checked for
integrity. Any problems should be documented and communicated to the IT Manager.
4. To review the courier rounds at least every 2 months and document recommendations to the courier supervisor
or Head of Department Logistics any changes in scheduling / processes / procedures
5. To liaise with clients with respect to expectations and range of service and to assist Marketing staff when
appropriate.
SPECIMEN RECEPTION & TESTING PROCEDURES
1. To ensure that all processes and procedures comply with Quality Documentation and to assist in the routine
functions of the laboratory to ensure consistent service.
2. To regularly liaise with the Regional Laboratory Manager, HODs and Core Lab Manager with regards to process
improvement. Interaction with other Laboratory Managers is encouraged, however, HOD’s and QC officers at HQ
must be made aware of any relevant issues. Any proposed changes to procedures must be authorised by HOD’s
or QC Officers or Core Lab Manager.
3. To ensure that all corrective action taken with respect to testing processes is correctly and adequately
documented. This includes ensuring that staff notify the Lab Manager / Supervising Scientist of QC problems
which cannot be resolved within 2 hours and that the relevant QC Officer at HQ is also notified of persisting
problems.
4. Regularly monitor QC, calibration, instrument log book records to ensure compliance with SOPs, correct filing.
5. Ensure retention of samples and test records in accordance with documented retention times and under correct
storage conditions.
ADMINISTRATIVE
1. Answer result enquiries and convey results to clinicians. To organise and facilitate discussion between clinicians
and the company’s Consultant Pathologist, when required.
2. Ensure that all “outstanding test” lists are followed up on a daily basis and that relevant information relating to
this review is noted in “Tracking”
3. Ensure that all QC reports, stock takes, staff time sheets and staff claims are submitted in the time frames
requested by HQ.
4. Assist senior staff at HQ in gathering specific data when and as required.
5. Order adequate monthly stocks and continually monitor stock levels
6. Ensure that all cash and cheques collected are dealt with according to the SOP’s issued by the Finance
Department.
SAFETY
1. Be aware of and observe health and safety regulations as they apply.
2. Ensure that the work area is maintained in a clean and tidy state and that all spills are cleaned immediately and in
accordance with procedures set out in the safety manual.
3. To ensure that all waste is disposed of in the correct manner.
QUALITY SYSTEM MAINTENANCE
1. To ensure method manuals and SOPs are current and liaise with respective personnel in Core Lab for updates.
2. To ensure training and competency assessment of staff are carried out according to documented procedures and
records are available.
3. Release patients results for reporting in a timely fashion and to assist in validation of reports where appropriate
permissions have been given by HODs.
4. To ensure non-conformances and complaints are registered in Information Delivery System (IDS)
5. To ensure the maintenance of the Quality Management System in accordance with the procedures noted in all
Quality Documentation.
Qualifications
1. Maintain good working relationships with colleagues, clients, suppliers and members of the general public.
2. Maintain confidentiality in all areas of work, patients record, etc
3. Undertake training as required.
4. Actively support all company policy rules and procedures, as stated in Company’s Handbook, including Safety and
Health.
5. Undertake any reasonable task as requested by immediate superior or of a higher level of authority and carry out
any other duties necessary to ensure the proper performance of the title of the post and its grading.
6. Carry out any other ad hoc duties that may be required from time to time to assist in the smooth running of the
organization
7. Ensure to communicate with relevant department clinical pathologists when there are enquiries from clients
specifically where clinical advice is required.
