We develop and engineer solutions and integrated services using data and knowledge-based insight across our customers' dynamic floating and fixed physical infrastructure.

We are seeking an experienced HR Advisor to join our dynamic Acteon team, based in Kuala Lumpur, Malaysia, and play a pivotal role in enhancing our organizational culture and employee engagement. The primary purpose of the HR Advisor role, as the first point of contact for employees and line managers, is to provide comprehensive support to the organization.

The HR Advisor will be involved in various areas within the HR function, including employee relations, performance management, resourcing, learning and development, and reward and recognition programs. The incumbent will also be required to provide both advisory and administrative support to global HR colleagues to ensure that, as a team, we deliver effective and efficient services to the regional businesses.

Duties/Responsibilities

  • Provide advice, support, information and guidance to employees and managers on HR and employee relations issues, ensuring HR policies and management practices comply with regulatory requirements and mitigate legal exposure
  • Support roll-out and/or ongoing promotion of group initiatives
  • Support in the attraction, acquisition, development and retention of all employees
  • Act as the local interface with the regional business, assisting with the development and implementation of employee recruitment, development, reward and retention programs
  • Support the broader HR team needs ensuring any potential issues are escalated as and when required
  • Co-ordinate the performance management and succession processes which include effective use of the software, standardisation, and compliance, ensuring talent management is planned to create sustained solutions to these issues at an individual, team or business level
  • Empower, coach and enable Managers to take full responsibility for the leadership and management of their teams
  • Quickly respond to requests for help from employees and managers, coaching where possible such that repeat requests are avoided
  • Working with Line Managers, ensuring up-to-date job descriptions exist for all roles
  • Responsible for Company's Audit readiness by ensuring all HR business procedures, policies and processes are maintained
  • Work in partnership with local payroll and finance groups to ensure all employment changes are updated in a timely manner
  • Assist with monitoring and administrating staff changes, keeping APP and personnel files updated and communicating changes with payroll as required as well as assisting with the administration of employee benefits
  • Attend confidential meetings to take notes if required and prepare these for distribution, ensuring personnel files are kept up to date
  • Provide support in arranging confidential meetings/organizing training courses and all associated administration arrangements
  • Assist with Audit readiness, ensuring all business procedures, policies and processes are being followed
  • Ensure the correct issue of all New Start Contracts and the Induction to the Company, all Contract Amendment documentation and Leaver documentation including Exit Interviews
  • Undertake all Starter administration including, but not limited to:
  • Processing all pre-employment checks
  • Issuing and return of employment offers
  • Creating personnel files
  • Completing new hire induction; ensuring all necessary paperwork and system access is granted
  • Ensuring activation in all Company required sites, i.e. Medical and Non-medical enrolment, training databases, random drug testing sites, etc
  • Undertake all Leaver administration including, but not limited to:
  • Ensuring Company Termination Procedure and/or Checklist are followed
  • Completing termination in APP in a timely basis
  • Ensuring deactivation in all Company required sites, i.e. Medical and Non-medical enrolment, training databases, random drug testing sites, etc.
  • When necessary, escalate any short notice or immediate needs to IT and the relevant departments to ensure accounts are closed appropriately
  • Occasional travel to other Acteon worksites may be required

Requirements

  • Minimum of five years' experience of HR roles, with some of this operating at an HR Advisor level
  • Experience of effectively organizing and prioritizing workload to meet deadlines
  • Experience of using Word, Excel and Outlook in the workplace to carry out a variety of tasks
  • Experience of collating and presenting statistical or financial data
  • Experience of working effectively without close supervision
  • Some knowledge of HR management, ideally within the oil and gas sector
  • A highly developed customer focus is essential as the experience provided to employees is key to the success of this role
  • Excellent organizational skills, both planning and prioritizing is required along with an overwhelming drive to deliver best practice results
