- To maintain a tracking database of all portfolio leasing matters
- Check, and edit master tenant listing before account department proceed to generate rental billing
- Timely highlighting of delinquent receivables
- Responsible for preparing Payment Requisition Form (PRF) for invoices relating to Leasing department
- Responsible for preparing/update the cash budget (to prioritise urgent matters) on monthly basis to Finance for approval before payment processing
- Responsible for bi-monthly meeting of minutes taking and clean up the ad-hoc updates by colleagues before presenting for the next meeting
- Issue reminder letters to tenants for any outstanding tenancy matters
- Prepare monthly master tenant listing report / outstanding report
- Prepare Letter of Offer (LOO) and liaise with solicitors for Tenancy Agreement.
- Monitor critical dates such as expiry dates, options to renew, termination, etc.
- Handle inquiries, tenant communications regarding leasing issues.
- Prepare work orders and to attend on complaints by tenants
- Follow-up with panel solicitors for legal action.
- Follow-up on the status of work orders issued.
- Inspect final work done on site, if necessary.
- Conduct / coordinate joint inspection between operation fit-out team and tenants prior to the handover and takeover.
- Prepare refund / forfeiture / write-off forms for Management’s approval / submit to account dept.
- Liaise with respective building management (JMB/JMC/MC) on complaints and disputes/issues raised by tenants to ensure that appropriate courses of action have been taken.
- To support and assist to check all reconciliations done against all reports (collection report to be reconciled with outstanding report, aging analyst report and tenant ledger summary report).
- Undertake any other relevant duties as requested.
