Position Title: Project Executive

Reports to: Director

Job Summary: We are seeking an experienced and creative Project Executive to join our team. The successful candidate will be responsible for organizing and executing a variety of events, including company events, company team building trips and company reward program trips. The Project Executive will work closely with clients to understand their requirements, develop project plans, and coordinate all aspects of event logistics, from venue selection and vendor management to on-site coordination and post-event evaluation.

Responsibilities:

  • Project Planning: Develop and implement project plans, coordinate vendors and suppliers, manage event logistics, and oversee event set-up and breakdown.
  • Budget Management: Create and manage event budgets, negotiate contracts with vendors, and ensure that expenses are within budget limits.
  • Venue Selection: Research, recommend, and select event venues that meet the client's requirements and budget constraints.
  • Client Relations: Build and maintain strong relationships with clients, respond to client inquiries and requests, and manage client expectations throughout the planning process.
  • On-site Management: Manage on-site event operations, including coordinating with vendors, managing event staff, and resolving any issues that arise during the event.
  • Reporting: Prepare and deliver regular project status reports to senior management, clients, and other stakeholders, including budget and schedule updates, and progress against established goals.
  • Post-event Evaluation: Conduct post-event evaluations to assess the success of the event, gather feedback from clients and attendees, and identify areas for improvement.

Requirements:

  • Bachelor's degree in hospitality management, event planning, business administration, marketing, or a related field
  • Must possess own transportation
  • Minimum of 3-5 years of experience in event planning or a related field
  • Strong communication, organizational, and problem-solving skills
  • Creativity and attention to detail
  • Flexibility and adaptability to adjust to changes in plans, unexpected problems, or last-minute requests
  • Knowledge of industry trends, best practices, and regulations
  • Ability to work independently as well as in a team environment
