You play a pivotal role in ensuring the smooth operation of administrative functions within the organization. You supervise the day-to-day operations of the administrative department and staff members, ensuring efficient and secure functioning of the company while identifying opportunities for improvement Duties and Responsibilities • Oversee daily office operations, including procurement of supplies, equipment maintenance, and facilities management. • Develop, review, and improve administrative systems, policies, and procedures. • Ensure the office is stocked with necessary supplies and equipment is properly maintained. • Hire, train, and evaluate administrative staff, taking corrective action when necessary. • Provide leadership and guidance to staff members to ensure adherence to policies and procedures. • Maintain all policies and procedures manuals. • Manage and maintain all department databases, ensuring accuracy and security of information. • Work with accounting and management teams to set budgets, monitor spending, and process payroll and expenses. • Plan, schedule, and promote office events, including meetings, conferences, interviews, orientations, and training sessions. • Lead or participate in meetings as required. • Assist and support front desk management in handling visitors and clients, ensuring a professional and welcoming environment. • Perform additional tasks and projects as assigned by senior management. • Adapt to changing priorities and support the organization in meeting its objectives. Requirements & Skills • Minimum of 3-5 years of experience in office management, preferably in the trading industry. • Proven experience in supervising administrative staff and managing office operations effectively. • Bachelor's degree in Business Administration, Management, or related field. • Additional certification in office management or related areas is an advantage. • Proven experience in office management or related administrative roles. • Excellent organizational, leadership, and communication skills. • Proficiency in Microsoft Office Suite and office management software. • Attention to detail and ability to multitask effectively. Stable working environment. EPF, SOCSO, EIS. 5 days working.
