Responsibilities

  • Administrative Duties
    • Responsible in handling in-coming phone calls and visitors.
    • Handle Sales Processing – create sales order, post goods issues (DN) and generate invoices / credit note.
    • Able to handle administrative, AR and finance related work.
    • Arrange and ensure vendors, warehouse and transport invoices as well as the utilities’ bills are sent straight to the Account for payment.
    • To verify vendors, warehouse, transportation and other invoices by receipting in the system.
    • Responsible in being in-charge of office maintenance.
    • To follow-up on DO acknowledgement from customers.
    • Responsible in administering documents – compile invoices, Dos, PO and filing.
    • Assist in conducting seminars, trainings (if any) as well as any ad-hoc duties as assigned.

    2. Logistics Duties

    • Responsible in receiving shipment by unpacking and checking any incoming goods for DO, invoices or bills or lading to verify items and quantities received, as well as to relocate the materials within the store compound.
    • Perform stock count in a timely manner to avoid any discrepancies in inventory.
    • To manage, plan and arrange for delivery by co-ordinating with customers, warehouse and transporters for daily deliveries.
    • Receive and process orders from customers and ensure orders are being sent in a timely manner.
    • Responsible in choosing and packing materials for deliveries and walk in customers.
    • Assist in interacting with warehouse and transport agent for deliveries and to handle Stock Take operations.
    • Keep and maintain the store area neat and in order.
    • Perform warehouse transfer periodically according to the stock level at Company’s store.
    • Able to handle returned goods from customers and ensure the items are in a good condition

    Requirements:

    • Minimum qualification in SPM/STPM/Certificate or Diploma (in any field).
    • Minimum 3-5 years of working experience in administrative and logistics related work.
    • Able to multi-task and be efficient when assigned to tasks.
    • Proficient in English and Bahasa Melayu.
    • Proficient in Microsoft Office (Word and Excel).
