Education and Experience

  • Must possess at least a Diploma in relevant field of study or equivalent work experience in project or construction administrative experience

Accountabilities

  • To prepare quotations when required. To ensure all approved quotations are checked and sent to clients as soon as possible. Follow up with clients on the Purchase Orders. All Purchase Orders issued by client must be checked against quotation. If these documents match, acknowledge the Purchase Order and reply to client.
  • To schedule and coordinate preventive maintenance or troubleshooting activities between clients, engineers and sub-contractors.
  • To ensure all jobs which are completed have received Purchase Order or confirmation, in order to generate invoices. Follow up with clients whenever necessary.
  • To review reports- services, Cleanroom Performance Tests and calibration certificates.
  • To ensure all invoices, service reports, cleanroom performance reports and calibration certificates to clients are issued accurately and timely.
  • To ensure all purchase orders and service chits to sub-contractors or vendors are issued accurately and timely. Follow-up is necessary for ensure all ordered stock i.e. filters, equipment and tools for planned preventive maintenance activities are delivered (if required) on time.
  • Upon closing a maintenance contract, ensure all maintenance activities are completed, billed and paid.
  • To create, track, store and ensure completion of all documentation in hard copies and in company server, according to company standards and ISO requirements. Ensuring an accurate and secure audit trail of documents and key decisions.
  • Archive and store dated document separately in electronic and paper form whenever necessary.
  • To review and register all complaints or findings on service chits and system. Ensure all complaints are attended by the relevant person-in-charge.
  • Remind team members to issue new quotations and other pending activities.

Job Type: Full-time

Pay: RM2,300.00 - RM3,000.00 per month
