Responsibilities:

  • Manage and maintain the GCOO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and handle correspondence, reports, presentations, and other documents.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
  • Prepare travel briefings and ensure all travel-related arrangements are in place.
  • Handle logistics for events and meetings, including venue selection, catering, and equipment setup.
  • Screen and prioritize phone calls, emails, and other communications.
  • Draft and proofread correspondence and documents on behalf of the GCOO.
  • Assist in managing and tracking projects and initiatives led by the GCOO.
  • Prepare project reports, presentations, and status updates.
  • Collaborate with other departments and team members to ensure project milestones are met.
  • Handle sensitive information and maintain confidentiality at all times.
  • Exercise discretion in managing personal and professional matters of the GCOO.
  • Oversee office supplies and equipment inventory, ensuring the GCOO’s office is well-organized and stocked.
  • Liaise with facilities management to address any office-related issues or needs.
  • Organize and coordinate internal and external events, including conferences, workshops, and team-building activities.
  • Manage guest lists, invitations, and RSVPs.

Requirements:

  • Diploma or Degree in Business Administration, Management, or a related field.
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior executives.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • May require occasional evening or weekend work to accommodate the GCOO’s schedule.
  • Ability to handle stress and manage priorities effectively.

Job Type: Full-time

Pay: RM3,000.00 - RM5,000.00 per month
