Asia Pacific Paralegal

The Mission

Assist in ensuring the operational efficiency of the Asia Pacific (APAC) Legal & Compliance team by providing administrative and paralegal support services to the Legal & Compliance team members servicing APAC, enabling them to carry out their roles effectively and successfully.

Assist on specific ad hoc projects in the field of legal and compliance.

Reporting & Location

The Asia Pacific Paralegal reports directly to the Asia Pacific General Counsel.

The role will be based in Kuala Lumpur, Malaysia.

Main Accountabilities

General Administration

  • Provide general administrative support to the APAC Legal & Compliance team, including organisation of meetings, coordination of signatures and notarization of documents (including apostilles), assistance with the preparation of documents, reports and presentations.
  • Information archiving: ensure internal records and folders are up-to-date, enabling easy and quick access at any time.

Corporate Housekeeping

  • Assist with general corporate housekeeping of all Azelis entities within APAC, including supporting with the execution and update of board changes, powers of attorney, change of registered addresses, etc.
  • Keep Corporate Information Sheets of APAC entities up-to-date.
  • Take charge of the preparation, execution and collection of all documents in relation to the corporate changes and update the internal corporate housekeeping tool and relevant internal records/folders, as required.
  • Be the key contact person in APAC for the internal corporate housekeeping tool and act as the first port of call for any requests or assistance in relation to the same.
  • Update Azelis Corporate HQ of any corporate or entity structure changes timely.
  • As and when required, record and compile minutes for board meetings of APAC entities.

Commercial Agreements & Global Contract Register

  • Maintain an overview of all requests for review of commercial agreements in APAC and follow up on receipt of the executed APAC agreements.
  • As and when required, review standard contracts, including confidentiality agreements, in coordination with the relevant APAC legal counsel.
  • Upload executed APAC agreements in the global online contract register.
  • Manage and update any changes to uploaded APAC agreements to ensure that APAC agreements are kept up-to-date on the global contract register.

Compliance

  • With a focus on APAC, support roll-out of Azelis group policies and procedures, including proofreading, coordination of translations, set-up of training sessions, follow-up on implementation, and ensure updates are made available on the Azelis intranet.
  • Manage and follow up on compliance declarations from key officers and authorized personnel in the APAC region.
  • Assist with information gathering and coordination with APAC entities for internal litigation reporting.

Finance

  • Assist in managing the Know-Your-Customer (KYC) and Anti-Money Laundering (AML) requests, including keeping relevant KYC/AML information up-to-date.
  • As and when required, review parental/corporate guarantees based on Azelis template, in coordination with the relevant APAC legal counsel.
  • Support the review, execution and collation of corporate documents relating to the approval of the annual accounts of all APAC entities and ensure such documents are filed and updated on internal records/folders timely.

Intellectual Property

  • Support the registration of new intellectual property rights or renewals of existing intellectual property rights, where applicable to APAC.
  • Assist with the co-ordination with Azelis Corporate HQ and relevant IP agents to ensure information relating to intellectual property rights for APAC are kept up to date.

Owned and Leased Property

  • Maintain an overview of all owned and leased property of the Azelis group within APAC.
  • Keep track of lease agreements (leased property) and title documents (owned property) and ensure copies of the same are made available and updated on the relevant records/folders.

Qualification & Skills

  • 5 or more years of relevant experience in a similar role, preferably in an international company.
  • High degree of social competence required.
  • Good communication skills.
  • Discretion and accuracy. Have an eye for detail.
  • Pro-active and quick to deal with problems.
  • Highly organized and structured
  • Effective time management skills, able to work well under pressure and deal with multiple / conflicting priorities to meet the deadlines.
  • Excellent English language skills, both oral and written, are a must-have. Mandarin is a plus.
  • IT-literate (Microsoft office), familiarity with ERP systems is a plus.
