Job Description:

We are seeking a highly organized and proactive Office Administrator to join our dynamic team. The ideal candidate will provide comprehensive administrative support to senior management and various departments, ensuring the smooth operation of our office and related facilities. The Office Administrator will be responsible for a wide range of tasks, including managing company vehicles, foreign worker permits, and maintaining a clean and organized office environment.

Key Responsibilities:

  • Vehicle Management:
    • Oversee the maintenance and servicing of company vehicles.
    • Manage road tax and insurance renewals for all company vehicles.
    • Ensure compliance with all vehicle-related regulations.
  • Foreign Worker Permit Management:
    • Handle all aspects of foreign worker permits, including application, renewal, and tracking expiration dates.
    • Manage foreign worker passports and ensure timely renewals.
    • Coordinate transportation for foreign workers to clinics for medical appointments.
  • Hostel Maintenance:
    • Ensure the cleanliness and maintenance of company-provided hostels.
    • Conduct regular inspections and coordinate necessary repairs and cleaning services.
  • Waste Disposal Management:
    • Oversee biweekly waste disposal operations.
    • Ensure compliance with waste management regulations and best practices.
  • Administrative Support:
    • Provide comprehensive administrative support to senior management, SALES, and PURCHASING departments.
  • Office & Factory Environment Management:
    • Ensure the office environment is clean, organized, and well-maintained.
    • Arrange for cleaning services biweekly and coordinate with cleaning staff.
    • Conduct regular inspections to ensure cleaning tasks are carried out as per the schedule at PRODUCTION AREA , PRODUCTION RESTROOM & SURROUNDING FACTORY AREA & SMOKING AREA.
  • Communication and Correspondence:
    • Prepare and distribute communications such as memos, emails, and other correspondence.
    • Assist in drafting reports, presentations, and other documents as needed.
  • Qualifications:

    • Proven experience in an administrative role, preferably in a manufacturing industry.
    • Strong organizational and multitasking skills.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) & SQL system
    • Ability to work independently and as part of a team.
    • High attention to detail and problem-solving abilities.
    • Knowledge of vehicle management and foreign worker permit processes is an advantage.
    • Ability to handle confidential information with discretion.

    Working Conditions:

    • Full-time position based in our office.
    • Occasional travel may be required for transporting foreign workers or managing off-site tasks.
