The Project Integration Division (PID) is responsible for all strategic and large capital investments of Port of Tanjung Pelepas (PTP). As part of PIDs Project Support team, the Executive, Project Controls, is responsible for reporting, managing and control the Divisions operational documents, and for ensuring up-to-date sets of information of various projects are available, agreed with the Head of Division, and communicated on time to various stakeholders.

Job Description
  • The focal point for project updates and reporting to and from various stakeholders internally and / externally.
  • Responsible in preparing bi-weekly and monthly project reports to Steering Committee / Key Stakeholders.
  • Responsible to support a systematic, single source of project documentation and control, allowing for easy accessibility and up-to-date information.
  • Ensure that all documentation related to the projects as well as the Division is properly and safely stored with appropriate access and backups.
  • Assist in monthly Project Risk Assessment monitoring and control between stakeholders, consultants and contractors.
  • Prepare and assist with digitization of project documentation from physical format to soft copy to maintain a proper and efficient submission and handover process.
  • Act as the Divisions representative for mandatory document updates to the IQMS system.
  • Focal person for audit activities, sourcing the related documents whilst working closely with the respective project owner, from initiation to closure.
  • Requirements
  • A professional certificate, diploma/ advanced/ higher/ graduate diploma, bachelors degree, postgraduate diploma, professional degree.
  • Minimum 3 years experience in project reporting, document control and engagement with key stakeholders.
  • Ability to distil relevant project data and consolidate it into executive management reporting.
  • Experience with project-based work, exposure to a technical environment is preferred.
  • Good understanding of the requirements of accurate and aligned reporting to assist the management to manage the project portfolio.
  • Ability to work effectively with basic Microsoft Office (Word, Excel, PowerPoint etc.) applications, Microsoft Visio, Adobe Acrobat, etc.
  • Familiarity with MS Project would be an added advantage.
  • Fluent English communication skills.
