Purpose of Position

Provide a pro-active and comprehensive service to the Singapore and Malaysia offices in all operational aspects of import ocean freight forwarding services provided by the company.

Key Tasks

  • Adhere to the Company Code of Conduct in daily endeavors.

  • Follow Work Instructions and all customer-specific SOPs when executing assigned tasks.
  • Comply with global standard processes/procedures and Corporate Standard & Governance policies.
  • Track all incoming shipments by pulling reports in CW1.
  • Work with reports and proactively monitor all incoming shipments by checking carrier/co-loader websites or Port System for estimated arrival details.
  • Monitor carrier’s/co-loader’s Notice of Arrival and follow up with carriers/co-loaders for missing arrival notices.
  • Register shipments – enter shipment information into the forwarding system (CW1) accurately and on time.
  • Check internal system data against external (carrier/co-loader/port) information and escalate to branches for resolution.
  • Update all systems (internal/external) with shipment data and other customer-specific systems.
  • Create Ocean Freight forwarding documents (e.g., prepare arrival notice, import manifest, DO release for carrier/CFS, and Cartage Advice).
  • Ensure all security arrangements and procedures are met.
  • Verify the completeness and accuracy of all forwarding documents uploaded by Origins.
  • Ensure all dangerous goods/hazardous cargo documents are in place and procedures are met.
  • Maintain close coordination and communication with overseas offices and Customer Service teams in respective branches.
  • Escalate all impediments to processing to the direct reporting manager.
  • Serve as a backup for other team members when necessary.
  • Sort and upload documents into eDoc.
  • Maintain accuracy in updating and meeting deadlines for monthly reports required by customers.
  • Perform auto-rating and auto-costing in CW1.
  • Participate in company projects and initiatives as required.

  • Understanding of Import Products.
  • Understanding of the legal/regulatory/statutory environment.
  • Proficiency in Microsoft Office.

Experience & Education

  • At least 1-2 years of working experience in a similar position in Freight Forwarding, Field Operations, Consolidation Planning, and Scheduling.
  • Intermediate to advanced skills in MSO applications.
  • Knowledge of CW1.
