Job Summary:

The Maritime Executive is the focal person at Melaka Office and provides critical support to the STS operations team, coordinating logistics, managing communication and documentation, and ensuring compliance with applicable regulations. This role involves liaising with various stakeholders to facilitate smooth operations while maintaining high standards of safety and efficiency. The ideal candidate should possess strong independence and organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Job Descriptions:

  • Prepare, review, and maintain all STS-related documentation, including permits, certificates, and shipping documents, ensuring records are updated, organized, and accessible for audits and compliance checks.
  • Collaborate with vessel operators, port authorities, agents, government agencies and relevant stakeholders to ensure efficient STS operations, assisting in scheduling transfers and keeping all parties informed of operational plans and timelines.
  • Ensure adherence to international maritime regulations, safety standards, and company policies during STS operations, preparing safety checklists, reports, and other compliance-related documents.
  • Manage logistics related to STS operations, including coordinating transport, ordering supplies, arranging services for crew and equipment, and monitoring inventory levels for necessary replenishments.
  • Act as the primary contact between the operations team and external parties such as agents, suppliers, and clients, handling inquiries and providing updates on STS schedules and operational status.
  • Maintain accurate records of operations data, costs, and metrics, assisting in the preparation of reports for management review.
  • Process invoices related to STS operations, track expenses, ensure timely vendor payments, monitor the budget, and report any discrepancies.
  • Provide general administrative assistance, including arranging meetings, preparing presentations, handling correspondence, and assisting in the development and updating of Standard Operating Procedures (SOPs) for STS operations.

Job Requirements:

  • Minimum Diploma in Maritime Studies, Business Administration, or a related field.
  • Experience in maritime, shipping, or STS operations is preferred.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and manage multiple tasks in a fast-paced environment.
