Job Summary: The Admin Officer is responsible for providing administrative support to the Admin Executive, primarily in the areas of purchasing and general administration. The role requires a strong attention to detail, excellent organizational skills, and a proactive approach to problem-solving. Key Responsibilities: Purchasing: • Efficiently manage the procurement process from processing purchase requisition including negotiation, quotation and order placement. • Purchase Order –creation for local vendor • Handling DO and purchasing related issues • Compilation and process of monthly Consumable Stock Requisition. • Build and maintain positive relationships with suppliers to ensure timely delivery, quality products, and competitive pricing. • Analyse purchasing data to identify cost-saving opportunities and optimize procurement strategies. • Utilize technology and efficient systems to streamline the procurement process and improve efficiency. Administration: • Oversee canteen operations, including daily meal checks, expense tracking, performance reporting, and bill payment. • Purchase and maintain office equipment and furniture, ensuring they are in good working condition. • Manage the despatch process, ensuring timely and accurate delivery of document and related good. • Assist with factory maintenance and ensure the availability of pantry consumables. • Maintain a proper filing system for all purchasing and administrative documents. • Ensure that factory waste is disposed of daily in accordance with environmental regulations. • Identify and implement process improvements to enhance administrative efficiency. Required Qualifications and Experience: • Diploma or Degree in Management, Administration or equivalent • Minimum of 2 years of experience in purchasing / procurement / administrative role • Proficiency in Microsoft365 • Strong organizational and time management skills • Excellent attention to detail and accuracy • Ability to work independently and as part of a team • Strong communication and interpersonal skills Preferred Qualifications: • Experience in purchasing or supply chain management • Familiarity with SAP System or other administrative software • Experience in a manufacturing environment
