Job Responsibilities:
- Project Documentation:
- Manage all project documentation, including contracts, approvals, drawings, and reports.
- Ensure that all project documents are properly filed, updated, and easily accessible.
- Assist in the preparation, review, and distribution of project-related documents.
- Daily Reporting:
- Prepare and submit daily project reports, including progress updates, issues, and site activities, for review by the Project Manager.
- Track project timelines and milestones, ensuring that deliverables are met on time.
- Meeting Coordination:
- Organize and coordinate project meetings, including preparing agendas, taking minutes, and distributing meeting notes to relevant parties.
- Ensure that action items from meetings are followed up on and deadlines are met.
- Communication and Correspondence:
- Act as the main point of contact for communication between the project team, contractors, and external stakeholders.
- Manage incoming and outgoing correspondence, ensuring timely responses and follow-ups on all project matters.
- Document Control:
- Ensure that all project documents (drawings, contracts, permits, etc.) are properly controlled and updated throughout the project lifecycle.
- Track and update revisions of project documents, ensuring that only the latest versions are used by the project team.
- Project Scheduling Support:
- Assist the Project Manager in maintaining the project schedule by updating timelines, tracking deadlines, and identifying potential delays.
- Keep track of critical project milestones and notify the team of upcoming deadlines.
- Procurement Support:
- Assist in managing project procurement processes, including preparing purchase orders, tracking deliveries, and ensuring timely receipt of materials and supplies.
- Maintain records of suppliers and subcontractors, ensuring all documentation is up to date.
Job Requirements:
- Minimum 3 years of experience in project administration or office management in the construction or development industry.
- Strong organizational skills with the ability to handle multiple tasks and deadlines.
- Excellent communication and coordination skills to liaise effectively with team members, contractors, and external stakeholders.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with project management software is an advantage.
- Attention to detail, particularly in managing documentation and tracking project timelines.
- Ability to work independently and provide proactive support to the Project Manager and site team.
Job Type: Full-time
Pay: RM2,500.00 - RM3,500.00 per month
